SCOPE:

The Workflow & Automation Platform Administrator is responsible for configuring, maintaining, and optimizing the bank's workflow and automation capabilities (including the Enterprise Workflow (EWF) platform within Jack Henry banking systems). This role partners with business, operations, risk/compliance, and technology teams to identify automation opportunities, standardize intake and prioritization, and implement best practices that improve efficiency, support regulatory compliance, and strengthen controls. As the bank adopts additional data strategy and product ownership models, this position may also serve as a platform-level product owner by helping define a roadmap, documenting requirements and success measures, coordinating testing and change management, and ensuring solutions align with enterprise data and process governance.

ACCOUNTABILITIES:

Workflow Design & Configuration:

  • Design, develop and maintain EWF workflows to meet business and regulatory requirements.
  • Configure workflow templates, rules, and automation scripts for various banking functions.
  • Analyze existing workflows for efficiency and recommend improvements.
  • Collaborate with business units to identify automation opportunities and implement best practices.

Product Ownership and Data Strategy Alignment:

  • Serve as an intake point for workflow/automation enhancement requests; facilitate discovery to clarify business outcomes, risks/controls, data impacts, and operational readiness.
  • Partner with stakeholders to prioritize a backlog and maintain a roadmap for workflow/automation capabilities in alignment with enterprise priorities and data strategy.
  • Define and document requirements, acceptance criteria, and success measures (e.g., cycle time reduction, error rate reduction, control evidence quality) for workflow/automation initiatives.
  • Coordinate with data, reporting/analytics, and governance partners to promote consistent definitions, appropriate data usage, retention, and auditability within automated processes.
  • Support change management by coordinating communications, training materials, release notes, and post-implementation review for enhancements.

System Administration:

  • Work with the IAM team to manage user roles, permissions, and security settings within EWF.
  • Monitor system performance and troubleshoot workflow-related issues.
  • Ensure workflows adhere to regulatory standards and internal policies.
  • Maintain detailed documentation of workflow configurations and changes.

Training & Support:

  • Provide training and support to end-users on EWF functionality and best practices.
  • Act as the primary point of contact for workflow-related inquiries and support requests.

Reporting & Analytics:

  • Generate reports on workflow performance, usage, and bottlenecks.
  • Present insights to management for process improvement and strategic planning.

Other:

  • Participate in ad hoc committees, task groups, and regular meetings to coordinate workflows to resolve operational problems resulting in improved customer experience and employee productivity.
  • Serve as a designated backup for Core Banking team to ensure continuity of operations during absences or peak workload periods.
  • As part of the overall team of bank employees, this position may be requested to assist in the support of other bank activities.

EDUCATION AND SPECIAL REQUIREMENTS:

  • Bachelor's degree (BA or BS) in Information Technology, Business Analytics, Business Administration, or equivalent combination of education and experience.
  • Two or more years of experience with Jack Henry EWF or similar workflow automation systems.
  • Experience in testing processes, change management, and vendor management
  • Experience in Project Management and/or Project Management processes.
  • Demonstrated experience with relevant programming/scripting and integration technologies used to automate workflows and connect systems (e.g., VB.NET or similar languages; API and web-service patterns such as REST/SOAP; markup/data formats such as HTML/XML).
  • Experience with API integrations, middleware, and Extract, Transform and Load (ETL) tools preferred.
  • Experience with workflow/automation, core banking, content management, business intelligence, and/or CRM platforms preferred (examples include the systems listed below).
