SUMMARY OF POSITION:

The Operations Coordinator is a Project Staff member of the TaC, Intervention, and Multilingual Specialist Department Team and supports the Curriculum and Assessment Department. This role is responsible for coordinating and managing operational systems, processes, and communications that support departmental programming and service delivery. The function of this position is to ensure efficient, accurate, and sustainable operational practices across intervention, multilingual, and consultation services. The Operations Coordinator serves as a liaison among districts, internal departments, staff, and external partners while overseeing caseload management systems, scheduling processes, fiscal tracking, billing coordination, data reporting, and operational workflows. This position supports the department's continued growth by ensuring compliance, consistency, fiscal accountability, and effective implementation of department initiatives.

QUALIFICATIONS:

  • Bachelor's degree in Education or related field required.

  • Master's degree preferred.

  • Minimum of three years of experience in educational operations, program coordination, project management, special education administration, or related field preferred.

  • Excellent written, verbal, organizational, and interpersonal communication skills required.

  • Experience with budgeting, fiscal oversight, and data analysis.ย 

DUTIES AND RESPONSIBILITIES:

  • Coordinate and monitor operational systems supporting departmental programs and services.

  • Manage caseload tracking, scheduling systems, reporting structures, and workload distribution for specialists and service providers.

  • Manage STAR logging, service documentation, scheduling, billing, revenue projections, and reporting processes.

  • Support operational requirements associated with SMARTS, Wilson, EdInsight, Vector, and other departmental applications in addition to curating new partnerships for programs or systems in collaboration with the department supervisor.

  • Serve as a direct contact and liaison between school districts, internal departments, staff, and external agency partners.

  • Assist with quarterly budget monitoring, fiscal tracking, purchasing, billing coordination, and expenditure reporting.

  • Support operational workflows associated with fee-for-service projects and district agreements.

  • Serve as the Student Services Assessment Coordinator.

  • Maintain and support internal data warehouse and reporting system.

  • Provide project coordination support for the Curriculum and Assessment department.ย 

  • Generate and analyze programmatic, fiscal, and operational reports.

  • Coordinate communication and scheduling with external partners.

  • Support implementation and maintenance of departmental systems, procedures, and protocols.

  • Monitor compliance with departmental processes and documentation requirements.

  • Facilitate coordination among intervention, multilingual, and consultation service teams.

  • Assist with onboarding processes and operational training for new staff.

  • Identify opportunities to improve efficiency and effectiveness of departmental operations.

  • Participate in CCIU-sponsored trainings and meetings.

  • Support departmental growth initiatives and strategic projects.

  • Perform additional duties as assigned.

SALARY RANGE 2026-2027 SCHOOL YEAR:ย 

260 days per year, 7.5 hours per day, 5 days per week
Project Staff, Level 13:ย $31.82/hr - $39.77/hr *placement based off years of experience in similar roles
