Secretary To The Director Of Special Services

This is a full time 260 day/8 hour secretary to the director of special services position at the instructional support center.

Qualifications:
  • High school graduate with secretarial experience of one to three years.
  • Demonstrates 80% or above on district approved performance based assessment.
  • Must have understanding and knowledge of computer technology.
  • Must possess excellent personal and public relations skills.
  • Such alternatives to the above qualifications as the board and/or superintendent may find appropriate or acceptable.

Reports to: Director of Special Services

Job goal: Collaborates with the director of special services and school psychologists to create an atmosphere of teamwork to accomplish assigned tasks in order to provide the best educational opportunities for the administration, teachers, students and parents of the Crawford Central School District.

Performance responsibilities:

  • Coordinates special education procedures to comply with state timelines and mandates.
  • Schedules all psychological evaluations and multidisciplinary team meetings within mandated timelines.
  • Prepares comprehensive evaluation reports within mandated deadlines for all new referrals and for all students re-evaluated during the school year; disseminates copies to school personnel and parents.
  • Follows-up regarding IEP's for eligible students.
  • Schedules re-evaluation team meetings for every special education student as required and prepares comprehensive evaluation reports as above.
  • Coordinates scheduling of transition meetings for preschool students with IEP's who will be entering the district as kindergartners.
  • Maintains confidentiality with regard to discussions, decisions, recommendations, and records of students.
  • Coordinates meetings regarding students as necessary between school and various agency personnel and/or parents.
  • Maintains a schedule of appointments for the director of special services and school psychologists.
  • Coordinates special transportation services for special education students; works with transportation providers to insure efficient transportation services are provided for students whose education is not provided in their home buildings.
  • Maintains comprehensive files on all students referred for multidisciplinary team evaluations.
  • Ensures that all files contain necessary documents to meet mandated requirements and satisfy audits.
  • Ensures confidentiality with regard to student files.
  • Sends copies of student records to other school districts and agencies upon request and maintains records of where information has been released.
  • Inputs all required information into the state-wide PennData system of tracking all special education students.
  • Completes all data by December 1 of each year for handicapped students in order to insure compliance with federal child count requirements.
  • Completes all data input by March 1 of each year for all gifted students in order to insure compliance with state child count requirements.
  • Manages data from the PennData system in order to produce various statistical reports for the district.
  • Coordinates data input with intermediate unit personnel.
  • Attends western Pennsylvania PennData users group meetings as necessary.
  • Coordinates ACCESS billing.
  • Submits student names to intermediate unit contact person to verify ACCESS eligibility.
  • Compiles necessary documentation regarding ACCESS billing from psychologists and sends to intermediate unit for monetary credit.
  • Maintains ACCESS files for audit purposes.
  • Assists with special education budgeting process.
  • Maintains a spreadsheet of special education budget requests from teachers in accordance with district budget process.
  • Submits spreadsheet information to director of special services for decision-making.
  • Prepares all purchase orders for special education supplies and materials district-wide.
  • Transcribes correspondence upon request.
  • Accepts all calls for the director of special services and school psychologists and records messages.
  • Is knowledgeable regarding special education procedures.
  • Is able to communicate procedural information to district personnel, parents and the public, as necessary.
  • Orders and maintains office supplies as needed.
  • Welcomes visitors and arranges for their comfort.
  • Performs other reasonable duties as assigned by the director of special services for the well-being of the school district.

Terms of employment: Salary and benefits to be determined in accordance with the negotiated agreement between Crawford Central Board of School Directors and Crawford Central Educational Support Professional Association.

Evaluation: Performance will be evaluated annually in accordance with provisions of the board's policy on evaluation of non-professional personnel by the director of special services.
