Job description

Find your purpose as the Administrative Assistant II for CentraCare Foundation. As the Administrative Assistant II you will serve as the assistant to a dynamic team of CentraCare Foundation staff which requires independent judgment, professionalism and individual action.  Primary responsibilities include administrative support for operations, donor engagement and stewardship, with secondary support for foundation events (as needed). Abides by AFP's Donor Bill of Rights and CentraCare's Our Best Begins with Me (OBBWM) culture principles. 

Schedule:

  • Full-time 80 hours every 2 weeks
  • Mon-Fri 8:00a-5:00p (occasional need for off hours for special events)
  • Onsite position in St. Cloud, MN

Pay and Benefits:

  • Starting pay is $19.91 per hour; exact wage determined by years of related experience.
    • Pay range: $19.91-$29.87 per hour

Qualifications:

  • High School Diploma or GED required; Associates degree or equivalent experience accepted. 
  • 2 years at a minimum of previous Administrative Support experience required. 
  • Ability to reconcile basic financial reports and financial transactions. 
  • Proficient in Microsoft Office and database functions.
  • Individual must have the ability to work as part of a fast-paced team as well as have initiative and resourcefulness to take on projects and assignments independently 
  • Must have the ability to take minutes using lap top computer.
  • Must have strong written and verbal communication skills as well as excellent organizational skills.
  • Special Event planning experience preferred.   

Core Functions:

  • Provides administrative support and staff assistance primarily for CentraCare Foundation Operations Program Manager and Donor Engagement Director. Tasks include answering telephones, responding to emails, scheduling, assisting various program chairpersons, helping with the coordination and implementation of various campaigns and programs, transcription and typing correspondence and any other clerical duties as requested.   
  • Coordinates various administrative aspects of fundraising programs that maintain data integrity for the Foundation, including donors, volunteers and vendors. Processes invoices and expense reports for payment. Responsible for typing, copying and filing on a daily basis. Assists in managing and supporting the donor recognition database and processes including the management of agreements (LOI's), gift agreements, and supply ordering. 
  • Contributes to the successful execution of Foundation events by handling delegated administrative and logistical components, including vendor and sponsor communication, mailings, registration, materials, on-site event support; and assistance with managing warehouse organization and inventory. 
  • Serve as first point of contact for the application for funds process, including answering basic questions about the process and responding to the Foundation Funds email inbox. 
  • Collaborate with Foundation leadership and administrative staff, especially the Executive Assistant, in providing flexible support across all Foundation functions, stepping in to assist with projects and tasks as they arise to ensure smooth and efficient team performance. 
  • Performs a variety of functions using Microsoft Office including word processing, spreadsheet development, presentation software and database organization.  Provides data input, develops and generates reports, graphs and a variety of presentations. Uses Salesforce, Blackbaud, Oracle, and other foundation software applications.  
  • Coordinates assigned committee meetings including developing meeting schedules and locations, assisting in agenda preparation, creating support materials packets, presentations and taking minutes of meetings.
