Project Coordinator

Select Development Group LLC

Job description

01  |  ABOUT SELECT DEVELOPMENT GROUP
Select Development Group (SDG) is a Naples, Florida-based general contractor delivering high-end residential and commercial construction across Collier, Lee, and Charlotte counties. Licensed under #CGC1525493, we operate in the luxury custom home, commercial, and public work sectors with a reputation built on craftsmanship, client experience, and strong trade partner relationships.
02  |  THE OPPORTUNITY
This is a foundational role within SDG's commercial estimating and preconstruction function, working directly alongside our Commercial Estimator as SDG scales its bid volume and pipeline. The Project Coordinator owns the mechanics that keep the bid process moving, trade outreach, bid tracking, and platform submissions, while gaining direct exposure to how a growing GC prices, wins, and mobilizes commercial work.
This is not a data-entry job with a fancier title. Done well, it is a growth track: coordinators who master the bid process and show sound judgment are the pipeline SDG draws from for future estimating and project management roles.
03  |  CORE RESPONSIBILITIES
Bid Coordination
•      Distribute bid invitations to qualified trade partners on assigned commercial projects, confirming invite lists reflect project scope and SDG's approved subcontractor list
•      Track subcontractor bid receipt against solicitation deadlines and proactively follow up by phone and email to confirm participation and secure timely submissions
•      Enter, upload, and submit bids on electronic bidding and procurement platforms (e.g., BuildingConnected, PlanHub, public agency portals) accurately and ahead of deadline
•      Maintain and update the bid tracking log to reflect current bid status, trade coverage, and outstanding gaps for each project
•      Assist the Commercial Estimator with bid leveling support, compiling subcontractor quotes into a comparable format for review and award recommendation
Trade Partner Management
•      Distribute addenda, RFIs, and plan/spec revisions to all bidding trade partners and confirm acknowledgment of receipt
•      Coordinate scheduling of pre-bid meetings, site walks, and bid due dates between trade partners and the internal team
•      Track subcontractor licensing, insurance, and prequalification documentation status in coordination with SDG's compliance tracking process
Project & Document Support
•      Support project teams with subcontract preparation, document routing, and file organization during handoff from preconstruction to operations
•      Maintain organized digital project files for active bids and awarded projects, including plans, specifications, addenda, and correspondence
•      Provide general administrative support to project managers and estimators, including correspondence, filing, and data entry in Buildertrend
•      Assist with assembly of proposal and qualification packages as needed
04  |  QUALIFICATIONS
Required
•      High school diploma or GED required; Associate's or Bachelor's degree in construction management, business, or a related field preferred
•      2–4 years of experience in a construction, estimating, or project administration support role
•      Working knowledge of the commercial bid process, including solicitation, tracking, leveling, and award
•      Proficiency in Microsoft Excel, Outlook, and Word
•      Strong written and verbal communication skills; comfortable following up directly with trade partners
•      Highly organized, with the ability to manage multiple bid packages and competing deadlines simultaneously
•      Valid Florida driver's license and reliable transportation
Preferred
•      Experience with Buildertrend, BuildingConnected, PlanHub, or similar bid management/procurement platforms
•      Prior experience in the SW Florida commercial or residential construction market
•      Familiarity with Bluebeam or similar plan review software
•      Exposure to AIA billing processes or subcontract administration
06  |  WHO THRIVES AT SDG
This role is not for someone who wants to disappear into a spreadsheet. It is for someone who is energized by staying ahead of deadlines and being the person trade partners can actually count on to call back.
•      You are relentlessly organized, and you don't let a bid deadline slip because no one followed up.
•      You take ownership of the details, a missed addendum or a late upload is not "someone else's problem."
•      You want to learn the estimating and project management side of the business, not just process paperwork.
•      You communicate clearly and professionally with subcontractors, even when you're chasing them for the fifth time.
•      You want a growth path, not just a job.
