Job description

TRIGO Global Quality Solutions has an immediate opening for a Part Time Operations Administrator in Greer, SC.

Payrate is $21/hour

Overall Purpose

Plan, direct, and coordinate administrative services of site or region; such as records, information management, data entry, and other office support services

Ensuring a high level of customer service for both internal and external customers

Support and contribute to the company Quality Policies and QMS

Reports to

Regional Manager/Site Manager

Responsibilities

(To include but not limited to the following)

Client Relationship & Business Development

  • Provide paper and/or electronic data upon request
  • Data entry into customer portal
  • PO collection and submission
  • Follow up with clients for required documentation
  • Provide client reports as requested by them

Operations

  • Manage employee LOA's and attendance charts
  • Assist with recruiting as necessary
  • Data entry into company portal; data and hours verification
  • Management of Org, Comp Mentee, and Comp Matrix chart
  • Demonstrates commitment to reduce the risk of workplace accidents
  • Must comply with local and company Health & Safety legislation, laws, and policies

Organization & Management

  • Ensure timely processing of payroll and invoicing
  • Electronically store all required job documents according to TRIGO filing conventions
  • Manage and upload client communication to client files
  • Purchase site and mission supplies and maintain expense report files
  • Maintain check log, copy and send all incoming checks to Harris Bank for deposit
  • Maintain contract logs including comparison log to ensure goal of improving percentage of purchase orders received is met
  • Perform audits on all electronic job files to ensure required documents have been stored by all departments
  • Contact and dispatch inspectors to missions when needed
  • Manage monthly safety trackers and Site audit trackers ; ensuring targets are met

Technical

  • Time entry into company portal
  • Ensure hard copy data is filed per ISO standards
  • Verify EPIC entries, balance EPIC entries to Payroll Journals
  • Audit EPIC entries for accuracy
  • Prepare month end KPI report for Manager
  • Prepare monthly Site Ops meeting minutes and upload to system
