Overview:

Gordon-Conwell Theological Seminary is a multidenominational, evangelical graduate school committed to equipping Christian leaders to think theologically, engage globally, and live biblically. With nearly 1,400 students across campuses in Massachusetts, North Carolina, Florida, and online, Gordon-Conwell’s student body represents more than eighty-five denominations and fifty countries. The seminary offers master’s and doctoral programs—delivered in English, Spanish, and Portuguese—that combine academic excellence, spiritual formation, and a deep commitment to Scripture. Its 12,000 alumni serve Christ through ministry in the church, the academy, and the workplace. Gordon-Conwell is accredited by the Association of Theological Schools, the New England Commission of Higher Education, and the Council for Accreditation of Counseling and Related Educational Programs.


Position Summary:

Under the supervision of the Lead Associate Registrar, the Assistant Registrar supports the mission of the seminary by serving as the Registration department point of contact for staff and faculty at Hamilton, assisting students through managing registration concerns, reviewing student academic performance, confirming graduates, commencement planning, and overseeing Hamilton course schedules and setup for online registration. This position also serves as a Designated School Official (DSO) and International Student Advisor. This position is required to work in person at Gordon-Conwell’s Hamilton, MA location 5 days a week.


Key Responsibilities:

• Student Petitions and Academic Review (25%) Receives and acts on student petitions within seminary policies and communicates decisions to students. Reviews Transfer Evaluation requests. Creates Th.M. Program resources that communicate and instruct on Th.M. policies and procedures. Reviews individual student class performances, with particular concern for potential probation situations or underachievement of required grade point average minimum. Refers special problems to the Lead Associate Registrar or appropriate committee for counsel and direction.

• Graduation Verification and Commencement Planning (25%) Certifies the credentials for graduates; reviews graduation applications and communicates important information to pending graduates. Arranges for diploma issuances and graduation regalia distribution for graduates. Serves on Commencement Committee to assist with planning the commencement exercises, including graduate lineup, staff training and coordination with the other communities, and participates as assigned.

• Data Entry & Transcripts (15%) Ensures timely processing of registration related data entry, including registration forms, pass/fail petitions, immunization and TB records, biographical data, address changes, final grades, processing official transcript orders, etc.

o Ensures creation of new student checksheets and audit of new student records every semester. Maintenance of dual degree student transcripts, including correction of errors in Student Information System.

o Processes cross-registrations for BTI and Dokes Gordon College students, serving as the Registration liaison to BTI host school registrars and Gordon College registrar, and provides updated course schedule to BTI (fall and spring).

• Course Schedules (15%) Works closely with the Lead Associate Registrar with course schedule planning, particularly for residential education, and ensuring schedules are up to date and accurate on the website and Canvas site. Ensures Hamilton course sections are created in the Student Information System in advance of online registration. Collaborates with the interdepartmental Classroom Support Team, meeting prior to each semester, and communicating course information and changes for each semester.

• Serves as an International Student Advisor (10%) Serves as a Designated School Official (DSO), assisting the Principal DSO with maintaining the Student and Exchange Visitor Information System (SEVIS) for the Hamilton campus. Organizes SEVIS data processing under the guidelines provided by the Department of Homeland Security (DHS). Advises students with petitions and applications to include processing for new F-1 visas, practical training, reinstatement, and reduced course load authorizations, change of status, medical leave and economic hardship employment authorization. Assists international students with processing applications for work permits, reinstatements, extensions of stay and other F-1 visa related matters.

• Events (5%) Coordinates the administration of Online Competency Exams (fall, spring, summer) and adds advanced standing credit for passed competency exams to student transcripts. Assists Student Success with new student orientation (fall and spring).

• Other duties as assigned by the Lead Associate Registrar to ensure the smooth operation of the Registration Office. (5%)

• Customer Service: Strong customer service skills with ability to display empathy with all constituents. Commitment to a high level of confidentiality and attention to detail is required. Willingness to learn registration policies, procedures, and standard degree program requirements in order to assist students.

• Organization and Adaptability: Able to manage time well in order to accurately perform detailed work while also serving students in their varied academic concerns. Must be highly organized and detail oriented.

• Familiarity with Academic Standards: Familiarity with the policies and degree programs of the seminary is strongly preferred.

• Clear understanding of the Seminary’s mission and willingness to affirm the Community Life Statement of GCTS.


Education and Experience

• Bachelors required; Masters in Education or field related to the Seminary preferred.

• 3+ years’ experience working in an academic or similar administrative setting required.

• 3+ years’ experience in a customer service and problem-solving environment is strongly preferred.

• Knowledge of community resources for appropriate referrals.

• Experience in a supervisory role is preferred.
