About the Position

ATS Traffic is looking for a detail-oriented Admin Coordinator who can effectively manage multiple priorities while delivering exceptional customer service. The successful candidate will support project planning, client communications, billing, permitting, and administrative coordination to ensure projects are completed accurately and on time.

Purpose of the role:


-Accurate and confidential data entry including billing information and client or job-specific rates
-Liaise directly with clients via Teams meetings to review project requirements, assess traffic control requirements and site-specific needs
-Create and map work zones using Google Earth Pro for planning and client review
-Develop labour and service quotes based on project scope and client specifications
-Review tender documents and prepare comprehensive project quotations Coordinate with drafting team & client to develop Traffic Management Plans (TMPs) and Traffic Control Plans (TCPs)
-Prepare project-specific risk assessments to ensure compliance and safety standards
-Request drafting quotes and deliver finalized pricing proposals to clients Issue client credit applications and credit card authorization forms
-Obtain and track client purchase orders (PO) prior to project execution
-Apply for and manage city and municipal permits for traffic control projects
-Communicate project scope and updates across departments including Sales, Rentals and Onsite Traffic Control
-Distribute invoices and follow up with clients as needed

Key Accountabilities:
-Timely communication and delivery of client deliverables (quotes, plans, permits)
-Address client concerns and timelines accordingly
-Ensure accurate plan details and submissions
-Follow company safety policies and initiatives

Qualifications:
Proficient computer skills with a wide-range of programs including data entry
High school education
Customer service

Skills:
Professional telephone manners and strong interpersonal skills
Emphasize the customer experience
Prioritize and self-manage the day and workload to client timelines
Map and schematic reading and comprehension
Ability to remain calm, work efficiently and effectively in a multi-tasking, high-stress environment
Accurate data-entry

Experience:
1 year of customer service experience an asset
Hands on experience with productivity applications including word, excel, email and presentation software
Experience in the Traffic Control/Construction industry an asset
