Description
UGM considers every position one of ministry and a vital and valued part of our team. SUMMARY OF POSITION:
The Donations Processor works to perform data entry functions and accounts for monies related to donations and miscellaneous incomes in an accurate, ethical and efficient manner. This individual operates directly with the Donations Processing Supervisor on a daily basis.
DUTIES & RESPONSIBILITIES:
Key Result Area #1: Receiving Functions
  • Open all monies and utilize 6-step sorting process.
  • Separate sorted monies into appropriate batches.
  • Add up each batch, total all check batches for remote deposit, and total all monies for the day; perform each procedure twice to ensure accuracy.
  • Pass cash and coin on for second count.
  • Ready cash and coin for deposit via courier.
  • Record all monies for that specific day for Donations Processing and Accounting.
  • Notify specified colleagues of designated monies such as grants, estates gifts, honorariums, special events, etc.
  • Determine the proper handling of donor responses received through the mail (notes, letters, etc.).
  • Work with the post office and Accounts Payable to manage the Business Reply Mail Account.
  • Deposit Foundation monies by physically driving checks to the bank for deposit.
  • Maintain awareness of office changes, updated coding or upcoming events pertaining to Donations Processing.
  • Manage incoming benevolence and petty cash; notify authorized individuals to pick it up and sign it out to them.
  • Format, process and print all in house receipting.

Key Result Area #2: Recording Functions
  • Enter all monies, by day, in accordance with the set procedure.
  • Proof and post all entries for that day.
  • Pull mail lists as requested by our Direct Mail company.
  • Print batch reports for that day.
  • Balance the day's entries posted to the database via spreadsheet.
  • Maintain updated binder of mailings and how they are coded.

Key Result Area #3: Database Maintenance
  • Utilize formal address corrections given by National Change of Address database, as well as personal notifications from ministry partners.
  • Apply additional Non-Cass and LACS address changes as they come in.
  • Perform regular duplicate maintenance.
  • Correct records based on returned mail.
  • Pull other donor record-related reports and make necessary corrections.
  • Ensure database is regularly cleaned and updated.
  • Create and maintain segment codes in database.
  • Handle all of the Virtuous CRM training across departments for new employees and volunteers.

SKILLS & QUALIFICATIONS:
  • Grounded in the Christian faith as a mature, active member of the body of Christ, in accordance with the Union Gospel Mission Statement of Purpose, Statement of Vision and Statement of Faith.
  • Strong interpersonal skills - capable of exercising compassion and discernment while modeling the teachings of Jesus Christ.
  • Able and willing to honor the leadership, standards and ministry objectives of the Union Gospel Mission.
  • Computer literate (Word, Excel, Outlook, Database mgmt); able to complete documents, create complex queries, build tables, and accurately record information. Willing to continue education as needed or required.
  • Quality communication skills including written, verbal and instructional.
  • Proficient keyboarding skills, ten-key by touch with a min of 130 characters per minute
  • Proficient typing skills- a minimum of 40 words per minute.
  • Critical thinking skills with attention for detail.
  • Teachable spirit and the ability to multi-task, listen, and make sound decisions.
  • Insightful, trustworthy, honest, reliable, understands appropriate boundaries, and demonstrates strong work ethic.
  • Criminal background check clearance - required.

WORKING CONDITIONS/PHYSICAL FACTORS:

  • Work is primarily indoors and may require sitting, standing, bending, reaching, and going from building to building - continuously.
  • Requires a sustained level of high energy, stamina, and the ability to move about all of the facilities on a regular and ongoing basis - continuously.
  • Requires the ability to hear, see, and speak clearly - continuously.

EDUCATION/EXPERIENCE:
  • High School diploma required.
  • Associate degree (or better) in business, accounting, or other related field of study strongly preferred.
