Summary
Under the direction of the Chief Financial Officer, the Data Entry and Processing Clerk will primarily assist the Machine Order Processingteam with the creation, processing, auditing, and follow-up of all new machine documentationand accounts receivable. Additionally, the Data Entry and Processing Clerk will assist with other duties and activities within the administrative team inorder to ensure the success of the department and the company.
Essential Functions
The duties listed below are the specific duties and tasks that someone in this position must accomplish. The omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the level and/or class of this position.
Create new machine order acknowledgements and invoices. Works with other departments to ensure all order processing requirements are met.
Ensure timely updates on all machine related spreadsheets and other documents.
Record and update machine duty, shipping, packing and other related accruals.
Conduct audits of all duty, shipping, and packing expenses as needed.
Provide assistance with asset management process and reporting.
Process Accounts Payable invoices and W-9 verifications for new vendors.
Process weekly Accounts Payable check runs and monitor when invoices are due and ensure proper communication where needed.
Process and reconcile credit card payments and process monthly bank reconciliations.
Post journal entries and reconcile general ledger accounts as needed.
Assist the administration team with various tasks assigned by management.
Other duties as assigned by management.
