Job Description:

Position Purpose summary:

The Administrative Assistant (for the Survey Project) provides administrative and clerical support assistance to the Grace Health Service residence by administering survey questionnaires, maintaining accurate records, managing files and filing systems and ensuring documentation is updated in accordance with Grace Health Services, standards and Policies.

This is a contract position.

Accountabilities:

  • Coordinate the planning and distribution of resident satisfaction surveys.
  • Explain the purpose of surveys and encourage resident participation.
  • Assist residents in completing surveys in person.
  • Ensure confidentiality and privacy of resident responses.
  • Collect, organize, and securely maintain survey data.
  • Enter survey results into databases or spreadsheets with a high degree of accuracy.
  • Prepare summary reports and present survey findings to management.
  • Monitor survey completion rates and follow up with residents as appropriate.
  • Maintain accurate records and documentation related to survey activities.
  • Schedule survey appointments and time.
  • Responding to resident inquiries regarding the survey process.
  • Perform general administrative duties, including data entry, and survey report preparation.

EDUCATION, EXPERIENCE, AND QUALIFICATIONS:

  • High school diploma required; certificate or diploma in Office Administration, Business Administration, or a related field is preferred.
  • Previous administrative or customer service experience
  • Experience working with seniors and elderly people or residential services is an asset.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and database software.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong attention to detail and able to multitask
  • Ability to work independently and collaboratively with a team.
  • Survey administration, Data entry and record management are an asset

Working Conditions:

  • Working environment is typically in the office, or in a community facility in generally agreeable conditions.
  • Recognizing and respecting that we are working in a home for seniors.
  • Regular interaction with residents, and staff.
  • May require a lot of speaking and walking throughout the building to meet with residents.

Compensation:

The target hiring range for this position is $24.47 to $30.59 with a maximum of $36.71.

Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
