Job description

Cycle Fill Order Entry Technician

The Cycle Fill Order Entry Technician supports the pharmacy by accurately entering and triaging monthly medication orders while serving as a primary contact for long-term care facilities and healthcare professionals. This role handles incoming calls, faxes, and electronic orders, ensures accurate patient and prescription information, and uses pharmacy software systems to process and route orders efficiently. The technician plays a key role in maintaining accurate patient profiles, processing prescriptions through third-party insurance billing, and supporting pharmacists in delivering safe and timely medication services.

Responsibilities

  • Establish and maintain accurate and up-to-date patient profiles in the pharmacy system.
  • Receive prescriptions and refill requests via fax and other formats and verify that all required information is complete and accurate.
  • Enter and process monthly medication orders using pharmacy order entry systems, including Frameworks and Frameworks ECM.
  • Process prescriptions using third-party insurance billing and resolve basic insurance-related issues within scope.
  • Pick up incoming telephone calls and direct them appropriately to the correct department or team member.
  • Communicate professionally with long-term care facilities, pharmacists, nurses, and physicians regarding medication orders and related questions.
  • Answer questions on medications within technician scope and refer clinical or complex questions to the pharmacist as needed.
  • Triage incoming documents, including phone calls, faxes, and electronic orders, and route them to appropriate team members for further processing.
  • Support the front-line operations of the pharmacy by managing all incoming orders and ensuring they are prioritized and processed accurately and promptly.
  • Use SIG codes correctly when entering prescriptions to ensure clear and accurate directions for use.
  • Assist facilities and patients with general inquiries and provide excellent customer service in every interaction.
  • Collaborate with team members who are responsible for typing and finalizing orders, ensuring smooth handoffs and workflow continuity.
  • Follow established procedures and workflows for order entry, triage, and documentation to maintain consistency and compliance.
  • Maintain confidentiality and accuracy in handling patient and prescription information at all times.

Essential Skills

  • Registered pharmacy technician with the State of Minnesota (state registration required; national certification alone does not qualify).
  • At least 6 months of pharmacy experience.
  • Working knowledge and practical use of SIG codes in prescription processing.
  • Proficiency in data entry with strong attention to detail and accuracy.
  • Customer service experience, preferably in a pharmacy or healthcare setting.
  • Ability to use pharmacy software systems, including Frameworks and Frameworks ECM, or similar applications.
  • Strong verbal communication skills for interacting with facilities, pharmacists, nurses, physicians, and patients.
  • Ability to manage multiple incoming calls, faxes, and electronic orders while maintaining accuracy and composure.
  • Capability to verify completeness and accuracy of prescription and refill information.
  • Comfort working in a repetitive, process-driven role while maintaining focus and quality.

Work Environment

This position is based in a closed-door pharmacy environment that is not customer-facing. The technician works in an office setting with their own desk and dedicated workspace. The role is repetitive in nature, involving continuous order entry and triage, but includes a variety of orders that require careful review and understanding to process correctly. The team is responsible for the front line of the pharmacy, handling all incoming phone calls, faxes, and electronic orders, and working collaboratively to route and type orders efficiently. The schedule runs Monday through Friday, with start times between 7:00 a.m. and 9:00 a.m. and end times between 3:30 p.m. and 5:30 p.m. There are no regular weekend shifts, although there may be an occasional requirement to work every fourth weekend as needed. The environment supports predictable scheduling, a structured workflow, and opportunities to contribute to a growing pharmacy operation.

Pay and Benefits

The pay range for this position is $21.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
