Data Entry / Office Administrator (Windows and Doors) Toronto Office

Data Entry Responsibilities

  • Accurately enter data provided by sales staff into our quoting software.
  • Identify and resolve irregularities, ambiguities, and potential issues in the data.
  • Ensure quotes align with project specifications and performance requirements.
  • Take on estimating and quoting tasks with increasing independence as you learn our products and system.
  • Assist with project handoff and basic coordination items with operations and production teams upon award. Training provided as the role develops.


Office Administration Responsibilities


Daily / Weekly Duties

  • Maintain a consistent presence in the showroom, supporting visitors and assisting with customer walk-ins.
  • Answer and direct incoming phone calls and emails.
  • Manage office correspondence and customer inquiries.
  • Prepare and maintain project files, contracts, and documentation.
  • Coordinate meetings, appointments, and office schedules.
  • Assist the sales team with administrative support and document preparation.
  • Process incoming and outgoing mail, courier shipments, and deliveries.
  • Order and maintain office supplies and equipment.
  • Coordinate communication between internal departments and external stakeholders.


Monthly Duties

  • Assist with invoicing, purchase orders, and basic accounting administration.
  • Maintain and archive project records and documentation.
  • Monitor outstanding quotations and follow-up opportunities.
  • Support management with administrative reporting and special projects.
  • Ensure office procedures and filing systems remain organized and up to date.


Qualifications and Required Skills

  • Strong attention to detail and accuracy in data entry.
  • Strong organizational and time-management skills.
  • Punctual and reliable.
  • Proficiency with Microsoft Office (Excel, Word, Outlook).
  • Comfortable learning new software systems. Full training is provided on our internal estimating system.
  • Strong communication and customer service skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Ability to work independently and collaboratively within a team environment, including in a fast-paced setting.

Desired Skills

  • Previous experience in the window, door, glazing, or construction industry is considered an asset, but not required. We train the right person on our products, codes, and estimating system.
  • Knowledge and experience using AutoCAD to review and interpret construction drawings.
  • Ability to read take-off sheets, architectural plans, and shop drawings.

Work Schedule

  • This is a full-time, in-office position based in the Toronto office and showroom.
  • Regular office hours are Monday through Friday, from 8:00 AM to 4:00 PM.
  • Attendance in the office during scheduled working hours is required to support daily operations, showroom coverage, customer service, data entry and quoting activities, and team collaboration.


Compensation

Expected compensation: $21.00 $22.00 per hour.
