Position Overview


West Coast Trial Lawyers is seeking a detail-oriented and efficient Intake Specialist to support our Intake Department. This is a high-volume, process-driven role focused primarily on data entry and information gathering. The Intake Specialist will speak with prospective clients, follow established intake questions within Filevine, and accurately document all required information for each new matter. This is not a sales or case-closing position; we are looking for someone who is fast, accurate, organized, and comfortable managing a high volume of intakes in a fast-paced environment.


Responsibilities

  • Answer inbound calls from prospective clients and conduct structured intakes
  • Enter prospective client and case information accurately into Filevine
  • Follow established intake questionnaires and workflows to ensure all required information is collected
  • Maintain accurate, complete, and organized intake records
  • Complete a high volume of data entry and intake tasks throughout the day
  • Review information for completeness and correct any missing or inaccurate entries
  • Ask follow-up questions when necessary to accurately document information
  • Route completed intakes to the appropriate team for review and next steps
  • Maintain detailed notes regarding prospective client communications
  • Follow established firm procedures and intake protocols
  • Handle confidential and sensitive information with discretion
  • Maintain professionalism and empathy when communicating with prospective clients
  • Work efficiently while maintaining accuracy in a fast-paced environment
  • Assist with additional administrative and intake-related responsibilities as needed
Requirements:
  • Bilingual fluency in English and Spanish is required
  • Previous experience in data entry, intake, customer service, call center operations, client relations, administrative support, or a similar high-volume role
  • Strong data-entry skills with a high level of speed and accuracy
  • Excellent attention to detail and organizational skills
  • Ability to accurately document information while speaking with clients by phone
  • Comfortable handling a high volume of calls and repetitive, process-driven tasks
  • Ability to follow established questionnaires, procedures, and workflows consistently
  • Strong verbal communication and active listening skills
  • Personal injury, legal intake, or law firm experience is highly preferred, but not required
  • Filevine or other case management/CRM experience is a plus
  • Ability to learn new systems and processes quickly
  • Professional, dependable, and able to handle confidential information with discretion


Hourly Range: $20.00-$21.00 per hour
