Job description

Job Title: Administrative Assistant

Overview:
 

We are seeking a detail-oriented Administrative Assistant to support daily office operations and deliver excellent customer service. This role plays a key part in maintaining accurate records, supporting sales and operations processes, and assisting with accounts receivable follow-up. The ideal candidate is organized, proactive, and comfortable communicating with both internal teams and customers.

Responsibilities:

  • Answer and route inbound phone calls in a professional and timely manner 
  • Respond to customer inquiries, resolve issues, or escalate as appropriate 
  • Maintain and update customer records in CRM and ERP systems 
  • Process sales orders accurately and efficiently 
  • Verify and manage documentation, including maintenance agreements, leases, and supplements 
  • Generate and distribute reports for management 
  • Assist with accounts receivable follow-up on past-due accounts 
  • Support the sales team by preparing partnership review materials for customer presentations 
  • Provide general administrative support to ensure smooth and efficient office operations 

Qualifications:

  • Previous experience in an administrative, customer service, or office support role 
  • Strong organizational skills with the ability to prioritize and manage multiple tasks 
  • Excellent written and verbal communication skills 
  • High attention to detail and accuracy 
  • Proficiency in Microsoft Office (Word, Excel, Outlook) 
  • Experience with CRM and/or ERP systems preferred 
  • Ability to build professional relationships with customers and team members 
  • Positive, team-oriented attitude with a willingness to learn 
  • Valid driver’s license and insurability (if required for the role) 
  • Comfortable with data entry and general computer use
