Job description

We are seeking an Operations & HR Coordinator to support recruiting, onboarding, and day-to-day office operations in a fast-moving staffing environment. This role is ideal for someone who enjoys staying organized, keeping things moving, and handling a variety of responsibilities throughout the day.


From setting up interviews and assisting with onboarding new hires to helping keep internal operations on track, no two days look the same. The right person for this role is tech-savvy, dependable, detail-oriented, and comfortable balancing both people-focused communication and behind-the-scenes administrative work.


This part-time position is onsite in Madison with a flexible schedule averaging 20-25 hours per week. The role could expand to a permanent full-time position.


Responsibilities

  • Answer and route incoming calls professionally.
  • Assist with onboarding coordination and follow-up communication with new hires.
  • Provide day-to-day administrative support and assist with special projects.
  • Set up Zoom meetings and assist with interview scheduling.
  • Maintain organized electronic and physical filing systems.
  • Prepare documents and general office materials as needed.
  • Monitor onboarding progress and internal tracking throughout the hiring process.
  • Assist with recruiting support and applicant communication.
  • Handle data entry, internal recordkeeping, and administrative updates.
  • Sort and distribute incoming mail and office documents.
  • Coordinate background checks and onboarding steps with candidates.

Requirements

  • Associate’s degree preferred.
