Records and Registration Data Clerk

Job Description

Reporting to the Associate Registrar, the Records and Registration Data Clerk is responsible for accurately inputting, updating, and managing data within the Office of Records and Registration. The Data Clerk handles the daily data received in the office to ensure proper documentation. The position provides direct support to the Records and Registration team by sending correspondence, ensuring data compliance, handling document imaging, faxing, photocopying, and filing. The Data Clerk is expected to deliver exceptional customer service to students, faculty, staff, and guests of Baltimore City Community College.

Responsibilities
  • Meets the daily data entry performance goals set by the Records and Registration Office
  • Ensure data integrity, quality, and accuracy of course offerings.
  • Retrieve, document, and maintain all incoming college transcripts received from various colleges and universities.
  • Check for errors and discrepancies in data entries, ensuring high levels of accuracy.
  • Analyze incoming college transcripts and update/maintain the college catalog received from and courses for transfer credit.
  • Collaborate with staff, troubleshooting and resolve system issues within Records and Registration
  • Organize and maintain files, both electronic and paper, for easy retrieval and reference.
  • Communicate with students to verify demographic information.
  • Provide information to students on the registration and college policies and procedures.
  • Adhere to the Family Education Rights and Privacy Act (FERPA)
  • Assist with entering other related information into Banner, such as degree audits, course substitution, grade changes, and other student data.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Serves as a backup for the office and registration specialist.
  • Performs other related duties as assigned.
Required Qualifications
  • High School Diploma or GED
  • 2-3 years of data entry/customer service skills.
  • Strong organizational skills and attention to detail
  • Strong oral and written English communication skills
  • Proficiency with MS Office software applications required, specifically MSWord and Excel
  • Some experience working in a multi-cultural and multi-lingual environment
  • Some experience using a multi-line phone system
  • Some experience using 25 Live and Ellucian Banner
Preferred Qualifications
  • Associate's degree
  • 3 or more years of experience performing data entry functions in an educational or similar environment
