What does a data entry assistant do?

As a data entry assistant, you type information from handwritten documents, phone calls, or recordings into a computer system and keep that data organized. You may also have job duties similar to those of an administrative assistant, such as answering phone calls, sorting mail, and greeting clients or visitors in the office. The qualifications you need for a career as a data entry clerk are a high school diploma or GED certificate and typing and computer skills. You need a bachelor’s degree for some data entry jobs.

What does a data entry assistant do?

A Data Entry Assistant is responsible for inputting, updating, and maintaining information in computer systems and databases. Their tasks typically include entering data from various sources, verifying accuracy, and ensuring information is organized and accessible. They play a key role in supporting business operations by handling administrative tasks efficiently and maintaining data integrity. Attention to detail and proficiency with office software are essential skills for this position.

What are the key skills and qualifications needed to thrive as a data entry assistant, and why are they important?

To thrive as a Data Entry Assistant, you need excellent typing skills, attention to detail, and a high school diploma or equivalent. Familiarity with data management systems, spreadsheet software like Microsoft Excel, and basic database platforms is typically required. Strong organizational skills, time management, and the ability to work independently or as part of a team are valuable soft skills. These abilities ensure accurate, efficient data processing and contribute to maintaining reliable business records.

What are some common challenges faced by data entry assistants, and how can they be managed?

Data Entry Assistants often encounter challenges such as handling large volumes of data, maintaining high accuracy under tight deadlines, and managing repetitive tasks. To manage these challenges, it's important to develop strong organizational habits, regularly double-check work for errors, and use keyboard shortcuts or data management tools to improve efficiency. Many teams foster a supportive environment where colleagues can share workload during peak periods, and supervisors may offer training to help improve speed and accuracy.

Job description

Description:

The Opportunity:

At Wize Solutions, we don’t just do the job—we set the standard. Headquartered in Salt Lake City, UT, we operate in all 50 states and internationally, delivering top-tier solutions with a relentless commitment to excellence. Our growth speaks for itself: in 2024 alone, we expanded from 120 to nearly 500 employees, and we’re just getting started.

What fuels our success? Our people. We believe that when our employees thrive, our company thrives. That’s why we invest in a culture that feels like family—where every team member is valued, supported, and given opportunities to grow. Through both tangible benefits and the intangibles that make a workplace truly great, we ensure that working at Wize Solutions isn’t just a job—it’s a career worth building. If you’re looking for a place where you can make an impact and grow alongside a rapidly scaling company, we’d love to have you on board.

As a Data Analyst, you’ll have the opportunity to put emerging technology to work on real business problems. You’ll work directly with our Chief Technology Officer to research, prototype, build, and test AI-powered tools, data solutions, and reporting that improve how our Operations, Sales, and Leadership teams work.

Wize Solutions installs warehouse racking, warehouse automation, and dock and door systems. As we replace a patchwork of spreadsheets and disconnected software with a modern technology platform built around Acumatica, you’ll have the opportunity to work on projects that bring our data together, eliminate repetitive manual reporting, and turn raw data into information the business can act on.

This is primarily a data, analytics, and R&D role—not a traditional IT help desk position. You’ll have meaningful ownership over projects and the freedom to propose ideas while working closely with the CTO to determine priorities, scope, and technical approach. The reports and tools you build may be used by real Wize employees and have a measurable impact on how we operate.

Who You Are:

  • You are curious, self-motivated, and excited by the opportunity to learn how new technology can solve real-world business problems.
  • You are a problem solver who enjoys building things and wants direct involvement in AI, automation, and analytics for teams across Wize Solutions.
  • You like working with data and get satisfaction out of turning messy, scattered information into something clear and useful.
  • You have a strong technical foundation and are comfortable learning new tools, query languages, programming languages, and data platforms as needed.
  • You are comfortable finding solutions to technical and business challenges and can communicate your findings clearly and concisely, both in writing and verbally.
  • You are detail oriented and understand that small details can have significant impacts on data quality, reporting accuracy, security, and business decisions.
  • You are willing to ask questions early, seek feedback, and work collaboratively with the CTO and other Wize team members.
  • You are genuinely curious about AI. You already experiment with AI tools, coding assistants, or LLMs and have thoughtful opinions about where AI can and cannot add value.
  • You understand the importance of protecting confidential company information and using AI and technology responsibly.
Requirements:

 What You’ll Own:

  • Research emerging AI tools, technologies, and analytical approaches and prototype them against real problems in Operations, Sales, and Leadership.
  • Connect and consolidate data from Acumatica and other business systems into reporting-ready datasets using SQL, APIs, scheduled extracts, and other data movement methods.
  • Build and maintain dashboards, recurring reports, and self-service views that give Operations, Sales, and Leadership visibility into project, schedule, material, and financial performance.
  • Document metric and data definitions so that reported numbers are consistent, repeatable, and reconcilable to the source system.
  • Investigate data quality issues—duplicates, gaps, mismatched identifiers, and manual workarounds—and recommend practical fixes.
  • Build and test AI-assisted tools and automations designed to eliminate repetitive manual reporting and data entry work.
  • Use OKRs and other measurable outcomes to evaluate whether the reporting and tools you build are creating business impacts.
  • Develop scripts, queries, and lightweight applications that improve internal processes and reduce reliance on manual spreadsheets and disconnected systems.
  • Work with LLM APIs and emerging technologies such as Model Context Protocol (MCP) to explore new ways of connecting AI to business processes and data.
  • Work directly with the CTO on special R&D projects, presenting findings and recommendations on what works, what doesn’t, and what Wize should consider adopting.
  • Help troubleshoot and test reports, datasets, and automations to confirm they are accurate, reliable, and working as intended.
  • Occasionally assist with basic technical support, including laptop setup, software configuration, and general end-user troubleshooting.
  • Create concise, practical documentation for the datasets, reports, and processes you build.
  • Propose new ideas for using data and technology to improve how Wize Solutions operates and take ownership of turning promising ideas into proof-of-concepts.

Experience You’ll Need:

  • Currently pursuing a degree in Data Analytics, Information Systems, Computer Science, Statistics, Business Analytics, Finance, or a related field, or equivalent demonstrated experience through personal projects, self-directed learning, previous internships, or other experience.
  • Working knowledge of SQL, or clearly demonstrated ability to learn it quickly.
  • Demonstrated ability to write and debug code or scripts in at least one language, such as Python, with the ability and willingness to learn additional languages and tools.
  • Strong spreadsheet skills, including formulas, pivot tables, and cleaning and structuring imperfect data.
  • Basic understanding of how business systems store data and how data moves between systems.
  • Experience with Git or another version control system, or a demonstrated willingness to learn.
  • Strong problem-solving and analytical skills with the ability to break complex problems into manageable steps.
  • Strong written and verbal communication skills, including the ability to explain what the data does and does not tell us.
  • Ability to work independently while knowing when to ask questions or seek guidance.

Nice to Have:

  • Experience with SQL, Python, R, DAX, Power Query, PowerShell, or Bash.
  • Experience with Power BI, Tableau, or other business intelligence and data visualization tools.
  • Experience with data modeling, ETL or ELT processes, or building repeatable data pipelines.
  • Experience with data warehousing, aggregation, and storage strategies, including platforms such as Snowflake, BigQuery, or Databricks.
  • Experience working with REST APIs, webhooks, SFTP, or other methods of moving data between systems.
  • Experience building applications using LLM or other AI APIs.
  • Experience with Model Context Protocol (MCP) or similar AI integration technologies.
  • Experience with Claude Code or other AI-powered development tools.
  • Experience with AWS, GCP, Azure, or other cloud platforms.
  • Experience with Acumatica, ERP systems, accounting software, job cost data, or other business applications.
  • Exposure to statistics, forecasting, or basic data science methods.
  • Spanish language proficiency.
  • Personal, academic, open-source, or professional data and software projects. We care about what you can build and how you think—not just where you learned it.

Details:

  • Pay: $20–$25 per hour, based on experience and technical proficiency.
  • Location: Hybrid, with regular days at our Sandy, Utah office.
  • Eligibility: Must be authorized to work in the United States.
