Job Description Data Clerk

Provides office professional support and data entry for campus in assisting parents, guardians, and staff with the District's State Compensatory Education (SCE) Student Wellness Program.

Education/Certification
  • High School Diploma or GED
  • Nine (9) hours of college business or office support coursework or comparable preferred from an accredited college or university recognized by the US Department of Education
Special Knowledge/Skills
  • Knowledge of standard office procedures and practices
  • Knowledge and understanding of school student information system (eSchool, PEIMS preferred)
  • Skill in operating computer for data entry/information retrieval purposes plus basic office equipment such as copier, fax, scanner
  • Skill in proofreading, collecting, tabulating, and evaluating data
  • Skill in the use of keyboarding, Microsoft Word, Excel, Financial systems (Tyler MUNIS preferred), and web based data management systems and software packages
  • Skill in English grammar, spelling and punctuation (written and verbal)
  • Skill in basics mathematical calculations, data entry, and detailed numerical/clerical work
  • Skill in processing a high volume of transactions with a high level of data accuracy
  • Skill in assisting telephone using proper telephone etiquette and customer service techniques in a fast, friendly, and flexible manner
  • Skill in assisting with usual routines and practices associated with a busy, yet productive and smoothly run office

Experience
  • Three years of verifiable secretarial/clerical experience in a professional office setting
  • School district, college/university, or government setting in student records environment preferred
  • Bilingual in Spanish helpful
Major Responsibilities and Duties

1. Assist parents, guardians, and staff with questions regarding the District's SCE Student Wellness Program.

2. Enter data on program screens, update and reactivate files, and ensure documents meet SCE program guidelines.

3. Manage paperwork, track students for SCE state at-risk indicators (state and local).

4. Code newly identified students for SCE at-risk indicators (state and local).

5. Communicate with parents/guardians regarding eligibility for SCE services.

6. Schedule Student Support Committee meetings.

7. Collect and maintain student data for students served in the District's SCE Student Wellness Program.

8. Assist with answering department phones to support the District's SCE Student Wellness Program.

Records, Reports, and Correspondence 1. Comply with policies established by federal and state law, State Board of Education rule and local board policy. 2. Compile, maintain and file all reports, records and other documents required. 3. Prepare correspondence, forms, reports, manuals, and presentations for the department head and other department staff members.

School/Organization Climate 1. Maintain professional behavior, promote a positive image, appearance, and work ethic to represent the District in a positive manner at all times and work in a team environment that supports the vision and mission of the District.

Communication 1. Maintain a positive and effective relationship with coworkers, supervisor, District officials and employees, vendors, and the general public. 2. Provide outstanding customer service. 3. Maintain good judgment and decision making when dealing with supervisor, co-workers, District officials and employees, and the general public.

Other 1. Maintain confidentiality of privileged and sensitive information when received and distributed to appropriate designees as directed by the Senior Director of Personalized Student Services. 2. Attend meetings as required. 3. Attend training on various software/hardware that is being supported by Humble ISD, remain current on new and emerging technologies, and maintain a working knowledge of the same. 4. Maintain an organized work environment. 5. Maintain a professional appearance. 6. Adapt to new procedures and changes. 7. Perform other duties as assigned.
