Job Summary
The Executive Assistant supports one of more vice presidents by managing executive operations, information flow, and team coordination. The ideal candidate is organized, proactive, and fluent in AI tools, using them daily to streamline workflows, synthesize information, and help the team operate at its highest level. This role goes beyond traditional executive support to include workflow improvement, light data analysis, and end-to-end project ownership for assigned small projects.
Essential Job Functions
Executive Support

  • Calendar Management: Coordinate and manage VP calendars, optimizing meeting sequencing, reducing context-switching, and protecting focus time. Proactively flag conflicts and keep schedules aligned with priorities.
  • Email & Communications: Monitor, triage, and draft responses to VP emails; prioritize urgent matters and ensure timely follow-up. Prepare agendas, pre-read materials, and distribute action items from meetings.
  • Travel Arrangements: Coordinate travel booking and expense submission for the VPs and other team members as assigned.

Administrative Duties

  • Documentation: Partner with the PMO team to design, document, and maintain workflows and standard operating procedures in Notion, ensuring procedures are current, searchable, and actively used.
  • Report Preparation: Compile and prepare reports, presentations, and briefing documents for the VPs by pulling data from multiple sources and producing clear executive-ready summaries.
  • Weekly Dashboard: Own the weekly product team dashboard: collect status updates from Notion, Asana, Domo and other tools; aggregate metrics; generate visual summaries; and flag patterns or risks before distributing to stakeholders.

AI Workflow & Data Enablement

  • AI Tool Fluency & Prompt Management: Actively use AI tools as a core part of daily work. Develop and maintain a shared library of context, prompts, artifacts, and templates that help the team use AI consistently, and offer informal coaching to team members.
  • Workflow Design & Automation: Map, design, document, and implement repeatable workflow improvements for the product team using tools such as Notion automations or Make. Coordinate with team leads when broader adoption is needed.
  • Data Analysis & Synthesis: Collect and analyze data from product operations to support VP decision-making. Produce clear charts, summaries, and insights using Notion, Excel, Google Sheets, or similar tools.

Project Coordination

  • Project Ownership: Manage specific projects assigned by the VP, driving all tasks to completion on time and within scope without requiring ongoing coaching or escalation.
  • Cross-functional Collaboration: Liaise with other departments, external partners, and vendors to facilitate communication and project progress.

Basic Qualifications

  • 3+ years of experience in an executive assistant or similar role

Preferred Skills & Experience

  • Exceptional organizational and time-management skills with strong written and verbal communication abilities
  • Demonstrated proficiency with AI tools (e.g., Claude, ChatGPT, Gemini) as part of daily work, including judgment about when to apply AI and when human skills are more appropriate
  • Proficiency in Notion, Microsoft Office Suite, and Google Apps
  • Ability to handle sensitive information with discretion
  • Bachelor’s degree and project management experience
  • Experience building automated workflows using Make or Notion automations
  • Comfort with basic data analysis and visualization in Excel or Google Sheets
