THE ROLE

The Systems & Data Associate supports cross-functional initiatives that advance organizational goals through effective data management, system administration, and operational support. This role is responsible for maintaining the integrity of organizational databases, supporting system users, coordinating onboarding processes, and enabling effective digital communications and reporting.

Working closely with internal teams, HR, and IT partners, the Associate plays a key role in ensuring systems are optimized, data is accurate, and staff are supported with the tools and training they need to succeed.ย 

RESPONSIBILITIES

  • Perform routine database maintenance including data entry, updates, audits, imports/exports, and clean-up activities
  • Ensure data integrity through validation, de-duplication, and quality monitoring
  • Run reports, queries, and system updates to support operational needs
  • Identify and resolve data inconsistencies; escalate complex issues as required
  • Support day-to-day system administration, including user access, troubleshooting, and system usage guidance (Microsoft & Fundraising platforms including: Raiser's Edge, SharePoint, Jira, Luminate)
  • Ensure compliance with data governance, privacy, and securityย 
  • Act as a liaison between HR, IT, and internal teams to support employee onboarding and offboarding
  • Coordinate system access, user account setup, and software permissions
  • Manage onboarding documentation, trackers, and checklists to ensure timely completion
  • Oversee procurement and lifecycle management of employee technology (equipment, licenses, upgrades, replacements)
  • Provide first-level technical support and escalate complex issues to ITย 
  • Act as back up to build, segment, and maintain communication and distribution lists for internal and external audiences
  • Validate and audit data to ensure accuracy and compliance with privacy and consent requirements
  • Support email deployment activities, including scheduling and quality assurance checks
  • Maintain documentation on list criteria, processes, and ownership
  • Provide reporting and insights on email performance asย 
  • Develop and maintain system documentation, SOPs, and user guides
  • Support training initiatives and onboarding of staff on systems and tools
  • Assist with testing and validation of system updates and enhancements
  • Gather feedback and recommend process or system improvements
  • Contribute to innovation initiatives, pilots, and continuous improvement efforts
  • Stay current on organizational systems and tools (e.g., CRM, collaboration platforms)

QUALIFICATIONS

  • Post-secondary education in Business, Information Systems, Data Management, or a related field, or equivalent experience
  • 1 Year experience in database administration (Raiser's Edge, Jira etc)
  • Experience in a data, systems, operations, or administrative support role
  • Experience in a healthcare, non-profit, or fundraising environment is an asset
  • Familiarity with data governance, privacy, and compliance standards is preferred
  • Strong attention to detail and commitment to data accuracy
  • Analytical and problem-solving skills with the ability to identify and resolve issues independently
  • Ability to manage multiple priorities, deadlines, and competing demands
  • Strong organizational and documentation skills
  • Effective interpersonal skills with the ability to work cross-functionally
  • Experience supporting and training end users with varying levels of technical knowledge
