Job Description Dispatcher

Department: Operations

Reports To: Operations Manager

FLSA Status: Non-Exempt/Exempt (As Applicable)


Position Summary

The Dispatcher is responsible for coordinating the daily dispatch of drivers, trucks, and equipment to ensure efficient, safe, and timely waste collection services. This position serves as the primary communication link between drivers, customer service, maintenance, and management to maintain operational efficiency and provide excellent customer service.

Essential Duties and Responsibilities

Dispatch & Operations

  1. Coordinate and dispatch drivers, trucks, and equipment to maximize route efficiency and productivity.
  2. Monitor routes throughout the day using dispatch software Soft-Pack, and communication systems.
  3. Respond to service delays, missed pickups, route changes, equipment breakdowns, and emergency situations.
  4. Coordinate truck changes and route adjustments based on operational needs.
  5. Assign additional work, special pickups, and recovery services as directed by management.
  6. Maintain communication with drivers throughout the workday to ensure safe and efficient operations.
  7. Assist in planning the next day's routes and service schedules.

Driver Support

  1. Serve as the primary point of contact for drivers during their routes.
  2. Provide drivers with updated work assignments, route changes, and customer information.
  3. Ensure drivers receive accurate route information and necessary documentation.
  4. Work closely withCustomer Service to resolve service requests, customer complaints, missed pickups, blocked containers, and special service requests.
  5. Coordinate return trips, trip charges, and special pickups as authorized.
  6. Provide timely updates to Customer Service regarding service delays or route changes.
  7. Maintain professional communication with customers when necessary.

Administrative Duties

  1. Review route sheets, work orders, service tickets, and dispatch records for accuracy.

2. Maintain accurate daily dispatch logs and operational reports.

3.  Assist with documenting missed services, blocked containers, and service exceptions.

4.  Assist with customer invoices.

Safety & Compliance

1.   Promote safe work practices by communicating safety information to drivers.

2.   Report accidents, incidents, and safety concerns to management immediately.

3.   Assist in documenting operational incidents and maintaining accurate records.

General Responsibilities

  1. Maintain confidentiality of company and customer information.
  2. Demonstrate professionalism and excellent customer service at all times.
  3. Knowledge of waste steam.
  4. Strong use of computer.

Qualifications

  • High school diploma or equivalent required.
  • Previous dispatch, transportation, logistics, or customer service experience preferred.
  • Strong communication and organizational skills.
  • Ability to multitask and work in a fast-paced environment.
  • Highly proficient in Microsoft Office and dispatch software.
  • Ability to make sound decisions under pressure.
  • Knowledge of the waste and recycling industry is preferred but not required.
