Mallory Safety & Supply is hiring a Service Coordinator to join our growing Technical Services team!

Our Service team keeps a lot of moving pieces in motion, and our Service Coordinator plays a critical role in making sure nothing falls through the cracks. This position serves as the organizational hub between our customers, technicians, third-party repair partners, and internal teams, helping move repair and rental orders from the initial customer request all the way through completion and invoicing.

On any given day, you may be answering customer calls and emails, entering repair or rental orders, coordinating third-party repairs, preparing quotes, tracking purchase orders and credit card payments, or following up on open work to make sure it keeps moving forward.

The right person for this role is the magician behind the curtain — someone who enjoys keeping things organized, communicating with different people, and making sure all the details come together behind the scenes. You'll have plenty of independence in managing your responsibilities, but you'll also work closely with the larger Service team to provide excellent support to our customers.

We're looking for someone who is highly customer-focused, organized, communicative, and comfortable managing multiple priorities at once. Mechanical experience isn't required, but some familiarity with mechanical equipment, repairs, tools, or a service environment would be a definite plus!

Schedule: This is a fully in-person position, Monday through Friday, 7:30 AM–4:30 PM.

Here is how you can make an impact as a Service Coordinator:

  • Provide friendly, responsive customer service by answering incoming phone calls and emails
  • Enter and maintain repair and rental orders accurately within company systems
  • Coordinate and schedule repairs with third-party service providers as needed
  • Prepare and send repair and service quotes to customers and follow up as appropriate
  • Log and track customer purchase orders and credit card information associated with repair work
  • Monitor the Service team's workflow and open orders to make sure work continues moving forward and nothing gets overlooked
  • Follow up on outstanding repairs, rentals, quotes, and customer requests to help keep projects on schedule
  • Monitor completed work to ensure orders are closed and invoiced accurately and in a timely manner
  • Communicate status updates and coordinate information between customers, technicians, third-party vendors, and internal Mallory teams
  • Maintain organized and accurate documentation related to service and repair orders
  • Identify delays, missing information, or other roadblocks and proactively work with the appropriate team members to resolve them
  • Balance independent responsibilities with supporting the broader Service team as priorities change throughout the day

  • Previous customer service, administrative, service coordination, order entry, or similar experience preferred
  • Excellent customer service skills and a genuine desire to help customers
  • Strong verbal and written communication skills
  • Excellent organization and time-management skills
  • Ability to manage multiple open orders, requests, and priorities without losing track of the details
  • A proactive mindset — you don't wait for someone else to notice when something needs attention

  • Comfortable communicating with customers, vendors, technicians, and internal team members
  • Ability to learn and navigate order-entry and business software
  • Mechanical familiarity or previous experience around equipment, tools, repairs, rentals, or a service department is a plus, but not required
  • Ability to read and write in English
