Under general supervision and following established procedures, the Customer Service - Account Coordinator is responsible for handling and following through on customers' requests for service and product information in support of sales activity. Processes orders for products received by mail, telephone, or personally from the customer or company employee.
Position Summary
ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING. OTHER DUTIES MAY BE ASSIGNED.
  • Informs customer of unit prices, shipping date, anticipated delays, and any additional information needed by customer.
  • Provides price quotations for customers, prospective customers, and account managers.
  • Provides some administrative support for account managers and management.
  • Writes, types, or edits orders, or enters data accurately into computer, to determine total cost for customer.
  • Records or files copies of orders.
  • Assists in ascertaining credit rating of customer.
  • Checks inventory control and notifies stock control departments of orders that would deplete stock.
  • Determines production routing of custom orders according to specifications and machine capabilities.
  • Expedites "hot" orders.
  • Initiates purchase requisitions.
  • Routes orders to appropriate department for order processing.
  • Follows up on orders to ensure delivery by specified dates.
  • Computes price, discount, sales representative's commission, and shipping charges.
  • Investigates and resolves routine requests and customer complaints.
  • Confers with production, sales, shipping, and warehouse staff to expedite orders and trace missing or delayed shipments.
  • Attempts to sell additional merchandise to customer.
  • Compiles statistics and prepares various reports for sales and management.
  • Participates in periodic staff and management team meetings, as necessary.
  • Work requires minimal supervision on projects and tasks.
  • Performs a variety of miscellaneous tasks that may be assigned by management representatives from time to time.

KNOWLEDGE, SKILLS AND ABILITIES
  • High school diploma or general education degree (GED).
  • A commitment to ethical business standards and personal integrity.
  • Self-motivation and ability to work with minimal supervision.
  • Excellent interpersonal communications skills in oral and written format and in terms of telephone etiquette.
  • Demonstrated ability to work effectively with customers, and the ability to convey a positive and professional image of service and support to employees at all levels of responsibility in the company.
  • Accuracy in work and strong attention to detail.
  • Approachable and supportive when working with others.
  • Proficient in Microsoft Office software (Word, E-mail, and Excel) spreadsheet applications. Exposure to other computer software such as accounting, purchasing, manifest or plant data collection.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Familiarity with a manufacturing environment is beneficial but not required.
  • Exposure to a sales, manufacturing/machine routing distribution environment preferred.
