Position: Senior Order Management & Billing Specialist (Order-to-Cash)

Location: Leonard Ct, Santa Clara, CA 95054
Duration: 6 Months temp to hire
Pay Rate: $30/hr on W2
Pay Frequency: Weekly
Schedule: Monday–Friday, 8:00 AM–5:00 PM


Position Summary

We are seeking a Senior Order Management & Billing Specialist to support customer order processing and commercial operations. This role will be responsible for managing customer purchase orders and sales orders from order entry through shipment and billing, ensuring accurate transactions, timely invoicing, and excellent customer support.

The ideal candidate will have strong experience in customer order management, order entry, billing/invoicing, ERP systems, and customer service. Experience with procurement or supplier purchase orders alone is not sufficient; candidates should have direct experience managing customer-facing sales orders and the Order-to-Cash (O2C) process.

Key Responsibilities

  • Review and accurately process incoming customer purchase orders and sales orders.
  • Enter, maintain, and update customer and order information in ERP systems.
  • Manage customer orders from order entry through fulfillment, shipment, and billing.
  • Review quotes, contracts, pricing, and customer requirements when processing orders.
  • Process order changes, updates, cancellations, and corrections.
  • Coordinate with customers, Sales, Operations, Shipping, Finance, and other internal teams to resolve order issues.
  • Monitor order status and communicate updates to customers.
  • Generate, review, and send customer invoices.
  • Investigate and resolve billing, pricing, quantity, and order discrepancies.
  • Support the Order-to-Cash process and ensure transactions are completed accurately and on time.
  • Respond to customer questions regarding orders, shipments, invoices, and billing.
  • Identify and escalate critical customer, order, or billing issues to management.
  • Maintain accurate customer records, order documentation, and transaction data.
  • Manage multiple orders and transactions in a high-volume environment.
  • Identify opportunities to improve order processing, billing accuracy, and customer service.
  • Support the Customer Operations team with additional responsibilities as needed.

Required Qualifications

  • High school diploma/GED with 4+ years of relevant customer service/order management experience, OR
  • Bachelor's degree with 1+ year of relevant customer service/order management experience.
  • Direct experience with customer order management or sales order processing.
  • Experience processing customer POs and entering orders into an ERP system.
  • Experience with billing, invoicing, and resolving invoice/order discrepancies.
  • Understanding of the Order-to-Cash (O2C) process.
  • Strong customer service and communication skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities and high-volume transactions.
  • Strong problem-solving and analytical skills.
  • Proficiency with Microsoft Excel, Word, and Outlook.
  • Ability to work independently with minimal supervision and collaborate effectively with cross-functional teams.

Preferred Qualifications

  • Experience with SAP, Oracle, Salesforce, or another ERP/order management system.
  • Experience supporting commercial/customer operations.
  • Experience coordinating orders through shipment and final billing.
  • Experience handling customer billing inquiries and invoice discrepancies.
  • Experience in a manufacturing, life sciences, healthcare, technology, or other high-volume commercial environment.
