Service Writer Position

With six locations serving Maine, New Hampshire, and Vermont, we strive to be the trusted partner our customers rely on for equipment sales, parts, service, and support throughout every stage of ownership.

Position Overview

We are seeking a detail-oriented and customer-focused Service Writer to join our Scarborough, ME team. The Service Writer serves as a key link between customers, technicians, the parts department, and management to ensure repair and maintenance work is completed efficiently, accurately, and to the highest level of customer satisfaction.

Key Responsibilities
  • Assist in creating and processing work orders for service and repair activities.
  • Review and maintain all repair orders for accuracy, completeness, and proper documentation.
  • Coordinate with technicians and the parts department to ensure timely availability of required parts and materials.
  • Process and maintain records of parts requisitions, parts invoices, material invoices, and outside labor invoices to ensure proper accounting and billing.
  • Assist with scheduling service work and managing workflow to maximize efficiency.
  • Keep the Manager informed of work order status, progress, delays, and any issues requiring attention.
  • Support warranty claim processing and documentation as needed.
  • Communicate effectively with customers regarding service recommendations, repair updates, and completion timelines.
  • Ensure every customer receives exceptional service and is fully satisfied with the products and services provided.
  • Maintain accurate service records and support continuous improvement of service operations.
Qualifications
  • Previous experience in a service writer, service advisor, customer service, or administrative role preferred.
  • Strong organizational skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to multitask and manage competing priorities in a fast-paced environment.
  • Basic understanding of construction, agricultural, or heavy equipment service operations is preferred.
  • Proficiency with computer systems, service management software, and Microsoft Office applications.
