Job Summary:   

The Receptionist (Community Support Office Coordinator) represents the Community Support Office (CSO) by creating an environment that supports Walton's Mission and Vision.  This role is one that adds infinite value to Walton team members, its guests, vendors, and business associates. 


Duties/Responsibilities 

Warm Welcome: Just as we do on our properties, we want to create an inviting atmosphere for all guests 

  • Remember YOU represent Walton Communities. This position requires that you wear professional business attire every day.  Always use good manners.  
  • Stand and greet guests with a friendly smile and offer them refreshments. 
  • Make sure the front reception area is ready for guests: lights on, music playing, refill refreshments 
  • Maintain office neatness and cleanliness throughout the day. 

Community Support: As the first point of contact for our communities, it is important to take the time to listen, assist and direct in a friendly, compassionate, and informative manner.  

  • Offer information to inquiries about our apartment communities and where to locate information on our website. 
  • Have knowledge of our properties and services to share with applicants and residents upon request including affordable programs. 
  • Act as liaison for residents or applicants calling the CSO office. Be able to assist and troubleshoot applicants by navigating our website or the application or residents calling with questions.  
  • Promote Walton good will for employees who are sick, had surgery, births and death in the family by sending appropriate gift. 
  • The CSO is located within The Walton on the Chattahoochee community, therefore we assist the Chattahoochee staff in managing parking, deliveries, etc.  

CSO Support: Be knowledgeable and helpful in all areas related to the CSO offices and surrounding property.  You are responsible for coordinating communications, meetings and events within the office.  

  • Post Basics/ Daily Service Standard each morning 
  • Answer phone calls and direct calls to the proper person. Take written messages or transfer to voice mail as needed 
  • Manage CSO Receptionist Voice mail, e-mails and faxes 
  • Open, sort, and distribute incoming and outgoing mail 
  • Responsible for incoming and outgoing UPS, FedEx, DHL and all couriers 
  • Organize, order, and set up for CSO luncheons and meetings. Plan quarterly office events or holiday-related surprises.  
  • Assist in scheduling or approval of conference rooms for training and meetings 
  • Plan to make sure rooms are ready for meetings and set up with refreshments 
  • Manage CSO and CSO lodge refreshments and snacks.  Keeping all areas stocked with necessary supplies. 
  • Unload dishwasher each day in kitchen and run dishwasher as needed 
  • Prepare and display the Walton book of the month for the CSO. 
  • Assist team members with other assignments/projects as needed 
  • Maintain office personnel roster/phone list weekly and update as needed (IT to include assignments in service now).  
  • Manage having partners and or employees' cars washed and approve invoices weekly 
  • Maintains office machines: copier/printers, postage meter - regularly stock paper 
  • Track and order office supplies 
  • Stay up to date on the Crisis Management Program 
  • Report on CSO expenses through Concur reporting 

     HR Support: Assist in the initial welcome for potential new Walton teammates 

  • Evaluate Candidates and complete first impression assessment 
  • Accept applications/resumes for employment and note your first impressions (mini- interview) 
  • Create a warm welcome and orientation for new hires in the CSO offices 

Marketing Support: Help keep our Walton marketing efforts on target  

  • Regularly review company websites and marketing materials for accuracy 
  • Display and offer Neighbor magazine to any guests visiting Walton CSO 
  • Assistance with Marketing Mailings 

IT Support: Offer encouragement and solutions as the situation requires 

  • Update SharePoint with monthly calendar of events and holidays. Add Yammer posts when appropriate.  
  • Submit service tickets through Service-Now for any CSO related maintenance or technical issues 
  • Keep IT aware of any technical needs within the CSO or with a Walton Community. 
  • Continue to stay informed of new systems and company roll outs. 

Personal Competencies: 

Education & Certifications:  

  • High School Diploma 
  • College Degree a plus 

Experience:  

  • Microsoft Office 
  • Working knowledge of computers and other office equipment 
  • Professional office environment or hospitality industry
