Job description

Job title: CRM Specialist

Reports to: Chief Executive Officer

FLSA Classification: Volunteer

Job purpose

Responsible for managing and optimizing Linc Worldwide's donor database. Bridge the gap between technology and fundraising, ensuring that donor records, volunteer involvement, and event registrations are accurate so the team can build stronger relationships and drive more contributions. Maintain, implement and evaluate the various features of our CRM to optimize use and promote expansion.

Duties and responsibilities
  1. Understand and manage CRM software (Customer Relationship Management software: Neon CRM)
  2. Work closely with Finance, Donor Relations, Event Planning and Marketing team members to understand our current use of CRM for donor information, donation collection and documentation, and marketing efforts.
  3. Work with Donor Relations team to clean, organize, and segment constituent data.
  4. Establish new use cases for the CRM to improve fundraising, efficiency, and key metrics tracking.
  5. Collaborate with team members to customize automated, personalized communications (thank-you emails for donations, recurring gift reminders, and event follow-ups) and workflows.
  6. Stay up-to-date with CRM product updates and webinar releases
    1. Make changes to our process and procedures within CRM to utilize these new updates and features.
      1. Train team members on updates and use of new features
      2. Update appropriate training handbooks and video resources when necessary
  7. Work closely with the Treasurer/CFO to ensure donation documentation complies with state and federal laws - including sending tax receipts for monetary and in‑kind donations, with special attention to fundraiser event donations and restricted/unrestricted fund documentation.
  8. Monitor dashboards to track fundraising performance, evaluate campaign success, and pull lists for Donor Relations team and Director of Development.
  9. Support the Donor Relations and Marketing teams to implement their strategic plans as it pertains to our CRM
    1. Provide additional guidance and assistance with capital campaign planning and implementation with CRM features.
  10. Assist with CRM maintenance - troubleshoot glitches, submit 'help tickets' to NeonONE, train LINC volunteers on CRM features, updates and use.
