We are partnering with a leading national insurance carrier to find an experienced Event Production Consultant to join their Event Production team. Our client is one of the largest and most established providers in the property and casualty insurance industry, recognized for its strong brand presence, commitment to innovation, and dedication to delivering exceptional experiences for customers, employees, and business partners. The Event Production team produces world-class, compelling content for events and programming that supports business partners and executives across a wide range of audiences. In this role, you will help deliver stories that bring the brand to life through business-sponsored events—incorporating videos, music, set design, presentations, booths, merchandise, and more. You will play a key role in combining customization, creativity, brand representation, and impactful business experiences both on stage and in the market.
Job Description
As an Event Production Consultant supporting Event Production, you will assist the team in the planning, execution, and creative production of sponsored events, tradeshows, and companywide programs. This role blends creative design capabilities with operational and administrative event support to deliver high-quality experiences and marketing assets that represent the client's brand. You will collaborate with internal stakeholders, external vendors, and cross-functional teams to bring events and branded programs to life from concept to execution.
Key Responsibilities
  • Lead and manage the branded merchandise microsite and recognition programs, collaborating with suppliers and internal partners on item curation, one-off requests, and annual programs.
  • Proactively review and evaluate branded merchandise store selections, providing recommendations for updates and replacements based on performance and relevance.
  • Support regular review cycles for ongoing merchandise and recognition programs, including apparel, new hire kits, diversity initiatives, and other branded programs managed through external partners.
  • Assist with management of the Branded Merchandise Holiday Program, including item selection, decoration direction, timing, and communications.
  • Drive timely communications to internal stakeholders and buyers to maintain visibility into merchandise program updates and changes.
  • Develop and plan a volunteer employee "brand ambassador" program.
  • Assist with tradeshows where additional staff is needed and/or smaller events.
  • Facilitate field management sponsorship ad requests.
  • Manage branded merchandise website content, including homepage updates, new item additions, and promotional refreshes as needed.
  • Manage seasonal and recurring promotional programs within the online store, coordinating with vendors on timing and fulfillment.
  • Handle pre-event preparation including know-before-you-go one-pagers, nametags, reception signage, and packing checklists.
  • Organize, inventory, and re-stock brand and promotional closets (Executive, Tradeshow, and Miscellaneous).
  • Assist in keeping the event calendar and documentation up to date, including events outside the primary budget scope that require team support.
  • Ensure post-event debrief feedback is received and recorded.
  • Lead print production including bidding, production, print vendor collaboration, proofing, quality control, and deadline management.
  • Create basic to intermediate graphic design assets in support of event marketing needs, including digital graphics (email headers, save-the-dates, digital badges, cVent assets), print collateral (posters, notecards, briefing book covers, gift card designs), promotional item artwork, sponsorship ad templates, and event signage.
  • Coordinate with vendors, suppliers, and service providers to confirm and validate contracts and ensure all necessary arrangements are in place.
  • Assist with expense management.
  • Concept and assist in the design and production of event marketing assets, including digital graphics, email templates, print collateral, signage, branded merchandise, and presentation content for PowerPoints, videos, and more.
  • Assist with the online branded merchandise store.
  • Fill administrative and communications support gaps for overall event support.
Qualifications
Required Qualifications:
  • Bachelor's degree in communications, marketing, events, or a related field.
  • 3+ years of related experience in event marketing, creative production, or communications.
  • Strong verbal and written communication skills with the ability to interact confidently at all levels.
  • Proven ability to manage multiple projects simultaneously, prioritize effectively, and meet deadlines.
  • Highly organized, detail-oriented, and a creative problem solver with a passion for the full project lifecycle.
  • Experience working with external vendors, suppliers, and cross-functional teams.
  • Proficiency in Microsoft Office and graphic design tools (e.g., Adobe Creative Suite or equivalent).
Preferred Qualifications:
  • Print production experience.
  • Knowledge of logo merchandise decoration.
  • Experience with Workfront or a similar project/traffic management system.
