Job description

The primary focus of this role is to ensure the executive remains organized and day-to-day operations run smoothly. You will also play a key role in coordinating content-related projects and workflows across creative, production, and external teams. This is an excellent opportunity for an experienced Executive Assistant or Coordinator who thrives in a fast-paced, creative environment and enjoys managing multiple moving pieces.


Key Responsibilities:


Executive Support

  • Manage complex calendars, including scheduling, meeting prioritization, and ensuring alignment with the CEO’s Executive Assistant.
  • Coordinate internal and external meetings, including preparing agendas and distributing follow-up action items.
  • Handle email triage and assist with executive correspondence.
  • Prepare basic documents, presentations, and reports.


Content & Team Coordination

  • Assist in tracking content projects, deliverables, and deadlines.
  • Coordinate workflows and content calendars with the Production team.
  • Facilitate coordination between creative, marketing, production, and external partners.
  • Take comprehensive notes during meetings and distribute action items promptly.


Administrative Support

  • Arrange travel, bookings, and expense tracking.
  • Maintain organized files and documentation.
  • Support research and coordination for strategic initiatives and content-related projects.


Qualifications

  • 5+ years of experience in an Executive Assistant, Administrative, Production Coordinator, Project Coordinator, or similar role.
  • Experience working in a creative, media, entertainment, content, or production environment is strongly preferred.
  • Experience supporting or coordinating projects involving multiple stakeholders, deadlines, and moving parts.
  • Strong organizational and project coordination skills with the ability to manage competing priorities.
  • High attention to detail and ability to track deliverables and follow up effectively.
  • Excellent written and verbal communication skills.
  • Proficiency with Google Workspace (Docs, Sheets, Calendar) and comfort learning new tools and systems.
  • Must live in the Bay Area, CA.
  • Must be able to travel as needed.
