This role is ideal for someone who is highly organized, calm under pressure, comfortable working across disciplines, and excited by the fast-moving world of experiential marketing and live events. You should be able to translate client goals into actionable plans, identify risks early, communicate clearly, and help teams move from concept to production with confidence.

ย

Roles and Responsibilities

  • Lead day-to-day project execution from kickoff through delivery, deployment, and wrap-up.
  • Build and maintain project timelines, milestones, workback schedules, and internal action plans.
  • Coordinate cross-functional teams including account management, creative, development, production, and onsite support.
  • Translate client feedback, project goals, and creative direction into clear next steps for internal teams.
  • Track project scope, requirements, assumptions, risks, open questions, and dependencies.
  • Partner with Account Managers to support client communication, expectations, budgets, and overall account needs.
  • Facilitate project kickoffs, internal check-ins, client reviews, stand-ups, and production meetings.
  • Ensure tasks are documented, assigned, prioritized, and followed through using company project management tools.
  • Help identify blockers, escalate issues early, and recommend practical solutions.
  • Review work for alignment with project goals, client expectations, and production readiness.
  • Coordinate deployment logistics, onsite needs, staffing, hardware, content, and technical handoff requirements.
  • Support onsite execution during key events, including setup, show days, troubleshooting coordination, and client support.
  • Help maintain clear communication between clients, internal teams, vendors, and onsite stakeholders.
  • Contribute to process improvements that make projects run more smoothly and predictably.

What you need to succeed

  • Strong organizational and planning skills with the ability to manage multiple projects and priorities at once.
  • Excellent communication skills, both written and verbal.
  • Ability to keep teams aligned without overcomplicating the process.
  • Strong attention to detail, especially around scope, timing, feedback, deliverables, and client expectations.
  • Ability to understand technical and creative work well enough to ask good questions, identify risks, and communicate clearly.
  • Comfort working in fast-paced, deadline-driven environments with changing requirements.
  • A proactive mindset and the ability to anticipate needs before they become problems.
  • Strong judgment around when to document, when to meet, when to escalate, and when to move forward.
  • Ability to work collaboratively with account managers, designers, developers, vendors, and clients.
  • Calm, professional presence when managing pressure, ambiguity, or live-event issues.
  • A focus on delivering successful client experiences while supporting healthy internal workflows.

Required Qualifications

  • Experience in project management, production, account coordination, experiential marketing, events, digital production, or a related role.ย
  • Experience managing timelines, deliverables, client feedback, and cross-functional project teams.
  • Experience coordinating work across creative, technical, production, or vendor teams.
  • Strong written and verbal communication skills.
  • Experience using project management and collaboration tools.
  • Ability to travel occasionally for onsite deployments, client events, or production support.

Preferred Experience

  • Experience working in an agency, experiential marketing, event production, or client-driven environment.
  • Experience producing digital experiences, interactive installations, websites, applications, or technology-based activations.
  • Familiarity with software development, creative production, hardware integration, or live event technology.
  • Experience with tools such as Asana, Slack, Google Workspace, Figma, HubSpot, or similar platforms.
  • Experience managing budgets, estimates, change requests, or vendor coordination.
  • Experience supporting onsite event setup, show operations, or technical deployment.
  • Background in Marketing, Communications, Business, Event Management, Production, or a related field.
