Job Summary    

Exabeam is looking for a top-notch, experienced Administrative Assistant to work alongside our VPs. The successful candidate loves working in a fast paced, high energy environment where having fun is high on the priority list. This is a rare opportunity for an intelligent, versatile Administrative Assistant to work hand-in-hand supporting forward-thinking executives. 

Responsibilities:  

  • Heavy calendar management to include global travel in a rapidly and ever-changing environment 

  • Owning the responsibility of making sure the executives' days are organized and productive 

  • Maintain the required level of confidentiality and decorum when working with sensitive information and VIP guests 

  • Management of meeting preparation including creation of agendas, presentations, meeting notes, and follow-up items 

  • Proactive with strong organizational skills to manage all AA responsibilities with the unique skill of anticipating needs and act on them without supervision 

  • Plan and execute on-site and off-site meetings, dinners, and events for the team 

  • Serve as a face of Exabeam on behalf of your vice presidents and help them build great relationships with internal stakeholders and external contacts 

  • Ability to work flexibly in terms of responsibilities and responsiveness while partnering with support staff on critical duties  

Requirements: 

  • Minimum of 2+ years of recent, full-time administrative support, supporting more than two vice presidents (within last 3-5 years) 

  • Excellent multitasker - ability to juggle multiple projects and priorities at once 

  • Successful history of managing the calendar, expenses, and global travel of one or more executives 

  • Experience working with vice presidents in a fast-paced environment preferably in a rapid, high-growth startup 

  • Strong knowledge of Office  

  • Exceptional communication and interpersonal skills 

  • Quick learner - have a "knack" for technology and processes; able to figure out new systems and adapt on the go 

  • Ability to move quickly and make on-the-spot decisions without sacrificing attention to detail 

  • Problem solver - actively can find creative solutions efficiently and correctly 

  • Trustworthy - must have a proven track record of impeccable discretion with sensitive company and personal information 

  • Ability to maintain composure and sense of humor in high-pressure situations 

  • Friendly, upbeat attitude, and willing to roll up the sleeves on a moment's notice  

Salary: 
The annual starting salary for this position is between $70,000 - $75,000 annually depending on experience and other qualifications of the successful candidate.
