Position Title: Sales Coordinator

Reports to: Director of Member Experience

Location: Our gorgeously-designed Amara Club coworking space in Schaumburg, IL

Schedule: Full-time, Monday-Friday daytime business hours (some exceptions apply)

THE ROLE IN A NUTSHELL

As our Sales Coordinator, you will tackle lead pipelines, drive membership development and meeting room bookings, manage event-related sales, and follow up across our portfolio of coworking spaces in Texas, the Chicago suburbs, and upcoming in Phoenix. You're not just selling desk space or event space - you're building a community. Every lead you close, every tour you schedule, and every event you coordinate helps grow the 25N community, which is our real product. This role is the heartbeat of our sales operation, and the energy you bring sets the tone for the whole team.

DUTIES + RESPONSIBILITIES:

Coworking Member Sales

  • Collaborate with the Community Team on the member sales process, which includes:
    • Fielding sales calls.
    • Educating prospects on our products & services.
    • Following up regularly with prospects by phone and email.
    • Updating our CRM pipelines in real time.
    • Generating preliminary proposals.
    • Collaborating across 25N teams on sales efforts (e.g., marketing, accounting).
    • Conducting tours for the Schaumburg space, and/or scheduling tours for prospects with the onsite community team.
    • Engaging with brokers and enterprise B2B customers.
    • Update CRM pipelines and manage contacts in HubSpot in real time.

Event Sales & Coordination

  • Follow up with meeting room leads and assist in booking prospects.
  • Conduct tours of our event spaces
  • Make outbound sales calls to past clients, warm leads, and new prospects to increase meeting room bookings and event sales.
  • Organize and manage contacts in HubSpot, ensuring the sales pipeline is always current.
  • Assist the Director of Sales & Events with coordination and detail planning for events, including set up and take down of event spaces when needed.
  • Post-Sale Client Logistics Coordination & Catering Coordination

CRM Management and Reporting

  • Maintain data integrity, and up to date contact and activity details for members and leads in Hubspot.
  • Generate reports as needed.

Marketing Support & Outreach

  • Assist the Marketing Team with event and programming initiatives that support sales goals of the space.
  • Identify and assist with/attend community outreach opportunities.
  • Support location-specific marketing campaigns as needed.

In Space Community Support

  • Cover the front desk as needed to greet members, assist with inquiries, and ensure a professional and welcoming environment.
  • Serve as host for after hours events as needed (times and dates scheduled and mutually agreed upon ahead of time).

PHYSICAL REQUIREMENTS (these are essential for this role, but let us know if you have questions or have an accommodation request):

  • Lift and carry up to 30 lbs.
  • Move furniture, equipment, etc. up to 100 lbs with assistance. For example, move a desk with the help of a dolly and/or a co-worker.
  • Ascend and descend ladders and stairs.
  • Work in cold or hot environments and potential wind/rain at outdoor events.
  • Regularly access low/high spaces that may be at irregular angles, such as under a desk or high shelves.
  • Operate computer and office equipment, including coffee maker, laptop, keyboards, mouse, copy machine, AV meeting room equipment and similar.
  • Be standing and walking for at least 1 hour at a time, 2-3x per day.
  • Maintain concentration and focus in a busy environment where people are coming and going.
  • Work in loud, chaotic environments and/or in crowds during community events.
