Job Summary

We are opening a brand-new shared office / coworking space, and weโ€™re looking for an experienced Coworking Operations Manager to lead the launch and day-to-day operations.

This role is ideal for someone who has at least 2 years of experience managing a coworking space or shared office environment, and understands how to deliver a smooth member experience while keeping operations efficient and professional.

You will play a key role in opening the space, setting up operational systems, coordinating vendors, supporting member onboarding, and ensuring the office runs flawlessly every day.


Key Responsibilities

Office Opening & Launch

  • Support the full opening process of the coworking location (setup, vendors, readiness checks)
  • Coordinate furniture, supplies, signage, internet/IT setup, access systems, and office layout
  • Assist with creating a welcoming โ€œmove-in readyโ€ environment for members from Day 1

Daily Operations & Member Experience

  • Manage day-to-day coworking operations: front desk, mail handling, conference room scheduling, cleanliness, and overall facility standards
  • Greet members and visitors professionally and ensure a positive experience
  • Handle member questions, concerns, and requests with strong customer service and problem-solving

Facility & Vendor Management

  • Work with vendors (cleaning, maintenance, internet, security, etc.)
  • Ensure all common areas, meeting rooms, and workspaces remain organized and fully stocked
  • Perform regular walk-through inspections and resolve issues quickly

Administrative & Reporting

  • Maintain office inventory and order supplies as needed
  • Track basic operational metrics (occupancy, member feedback, vendor performance, etc.)
  • Support billing follow-ups, membership documentation, and simple reporting if required

Community & Event Support (Preferred)

  • Assist in creating a strong coworking community culture
  • Support light community-building activities such as small member events, coffee mornings, or networking sessions


Requirements (Must Have)

  • 2+ years experience managing or operating a coworking space / shared office / flex office environment
  • Strong understanding of coworking operations: members, access, meeting rooms, vendors, office flow
  • Excellent communication skills (in-person, phone, email)
  • Strong organization and follow-through โ€” able to handle multiple priorities daily
  • Comfortable working on-site and being the โ€œgo-to personโ€ for the office
  • Professional, reliable, and service-oriented mindset


Preferred Qualifications (Nice to Have)

  • Experience with coworking platforms (ex: Nexudus, OfficeRnD, Cobot, etc.)
  • Experience with vendor contracts and operational budgeting
  • Experience supporting office events or community engagement
  • Light sales or leasing experience (tours, walk-ins, membership inquiries)
