What this job involves:
As a Facilities Support Coordinator, you will serve as a vital connection between our Facility Management team, clients, and vendors, ensuring seamless operations across our integrated facility management platform. This role combines administrative expertise with hands-on coordination of facility services, where you'll manage technology platforms, analyze performance data, and drive continuous improvement initiatives. You'll play a key part in delivering exceptional client satisfaction while supporting cost-saving initiatives and maintaining high service standards. What your day-to-day will look like:
  • Monitor and provide general support for Integrated Facility Management (IFM) services, ensuring continuous oversight of operations and service delivery across assigned facilities
  • Administer and maintain technology platforms including SharePoint and Corrigo, ensuring data accuracy, proper documentation, and effective work order dispatch coordination
  • Coordinate facility maintenance and waste management services with building management companies and third-party vendors, scheduling service activities and resolving issues related to HVAC, elevators, janitorial services, and general building systems
  • Prepare performance reports and manage databases that support the IFM platform, analyzing data to identify trends, forecast results, and turn insights into actionable improvements for client value
  • Serve as the primary interface between clients and vendors, ensuring appropriate follow-up, minimal disruption during service delivery, and excellent communication across all stakeholders
  • Support budget analysis and reporting by researching variances, identifying financial issues, and contributing to facility-specific cost savings targets that drive account-level savings goals
  • Lead continuous improvement initiatives by identifying opportunities to enhance processes, systems, and overall client satisfaction while supporting special projects and events as assigned

Required Qualifications:
  • Minimum of 5 years of experience in facility management, corporate environment support, or as a third-party service provider in the facilities industry
  • Proficiency in Microsoft Office Suite with advanced Excel skills, including data analysis, reporting, and database management capabilities
  • Demonstrated strong organizational and interpersonal skills with a proven customer service focus and ability to build positive client relationships
  • Advanced written communication skills with exceptional spelling, grammar, and punctuation, plus strong verbal communication abilities
  • Proven ability to work independently with minimal supervision while prioritizing and managing multiple projects efficiently to meet deadlines
  • Ability to read, understand, and apply Service Level Agreements (SLAs) and Key Performance Indicators (KPIs) to daily work activities
  • Self-starter with strong team collaboration skills and ability to work effectively with integrated and virtual teams

Preferred Qualifications:
  • Bachelor's degree in Business Administration, Facility Management, or related field
  • Experience using facility management software platforms such as Corrigo, SharePoint, or similar CMMS/IWMS systems
  • Knowledge of building systems including HVAC, electrical, plumbing, and general maintenance operations
  • Experience supporting vendor management, contract administration, and sourcing activities
  • Familiarity with budget management, financial reporting, and variance analysis in a facility management context
  • Previous experience in a remote work environment with demonstrated ability to maintain productivity and communication
  • Track record of implementing process improvements and contributing to cost savings initiatives

Position 100% Remote
Work Shift: 1st Shift, Monday-Friday, 7:30 AM - 4:30 PM
Salary/Comp: $51,000 - $59,000
This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.
Estimated compensation for this position:
65,000.00 - 75,000.00 USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
