Position Summary


The Commercial HVAC Inside Sales Project Manager serves as the primary internal point of contact for commercial HVAC projects. This role supports outside sales representatives and contractor customers by managing project quotes, submittals, orders, and timelines while ensuring accuracy, responsiveness, and customer satisfaction throughout the life of each project.


Key Responsibilities

  • Support commercial HVAC outside sales representatives and contractor customers on active projects
  • Prepare detailed project quotes, takeoffs, and pricing for commercial HVAC equipment and systems
  • Manage projects from initial quotation through order fulfillment and closeout
  • Coordinate equipment orders, lead times, deliveries, and job site requirements
  • Review project specifications, drawings, and schedules to ensure accurate product selection
  • Prepare and process submittals, documentation, and job-related paperwork
  • Communicate regularly with customers, manufacturers, and internal teams regarding project status
  • Resolve order issues, backorders, and delivery challenges in a timely manner
  • Maintain accurate project records, pricing, and communications in ERP/CRM systems
  • Stay current on commercial HVAC products, manufacturer offerings, codes, and industry trends

Requirements

Qualifications & Experience

  • 3+ years of experience in commercial HVAC inside sales, project management, or distribution
  • Strong knowledge of commercial HVAC equipment and systems
  • Ability to read and interpret construction drawings, specifications, and schedules
  • Excellent organizational, time management, and multitasking skills
  • Strong attention to detail and accuracy
  • Effective communication skills with contractors, sales teams, and manufacturers
  • Proficiency with ERP/CRM systems and Microsoft Office
  • Ability to work in a fast-paced, deadline-driven environment


Preferred Qualifications

  • Experience working with commercial HVAC manufacturers and reps
  • Familiarity with submittals, takeoffs, and project documentation
