The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
Responsibilities:
This position primarily serves as the time-as-reported Class Notes and copy editor for Rochester Review, the University of Rochester's twice-yearly flagship magazine. Researches, writes, edits, and proofreads Class Notes and proofreads the full print magazine and selected digital adaptations. Also provides targeted copyediting and proofreading support for enrollment marketing materials and select brand marketing materials. Ensures copy is accurate, clear, consistent, and aligned with applicable house and University editorial and brand style, with hours concentrated around the spring and fall magazine cycles.
ESSENTIAL FUNCTIONS
Class Notes research, writing, and editing
  • Researches, condenses, rewrites, and edits submitted Class Notes for clarity, tone, privacy, and available space. (25%)
  • Verifies names, titles, graduation years, employers, publications, awards, dates, and links; resolves discrepancies; documents sources; and flags unsupported claims, privacy issues, or permission concerns. (20%)
  • Communicates with alumni, UM&C colleagues, and Advancement and Alumni Relations partners as needed to complete this work. (5%)

Rochester Review proofreading
  • Proofreads features, departments, display copy, captions, sidebars, contents, credits, and selected digital adaptations for grammar, punctuation, usage, consistency, clarity, apparent factual inconsistencies, and adherence to Rochester Review style.
  • Reviews page layouts for headlines, decks, bylines, captions, photo identifications, folios, jumps, line breaks, credits, URLs and QR codes, charts, and corrections.
  • Rechecks revised pages through final production to confirm that changes have been made accurately and have not introduced new errors.

Enrollment and brand marketing editorial support
  • Copy edits and proofreads assigned enrollment marketing materials and select brand marketing materials for grammar, accuracy, clarity, consistency, audience appropriateness, and adherence to University editorial and brand standards.
  • Raises substantive questions and helps maintain quality across print and digital formats.

Editorial workflow and collaboration
  • Coordinates with the Rochester Review editor, writers, designers, project managers, and University partners.
  • Communicates queries and corrections; updates issue style sheets; and completes work on schedule amid tight deadlines and shifting priorities.
  • Recommends opportunities for workflow efficiencies

MINIMUM EDUCATION & EXPERIENCE
  • Bachelor's degree in journalism, communications, English, publishing, or a related field
  • 3 years of experience in professional editing, copy editing, or proofreading required
  • Or equivalent combination of education and experience
  • Previous experience editing for website and digital projects preferred
  • Magazine production, alumni or institutional publications, enrollment or brand marketing communications, and web/digital editing experience preferred.

KNOWLEDGE, SKILLS AND ABILITIES
  • Proficient with Microsoft Office and Adobe Acrobat required
  • Advanced command of grammar, usage, punctuation, copy editing, and proofreading preferred
  • Strong research and fact-checking skills; meticulous accuracy with names, dates, titles, class years, and degree strings preferred
  • Ability to manage high-volume work, tight deadlines, shifting priorities, and sensitive information preferred
  • Sound editorial judgment and clear communication preferred.
  • Familiarity with Chicago style, University or magazine house style, publication production workflows, digital publishing, and accessibility practices preferred.
