Job description

FUNCTION โ€“ SCOPE STATEMENT:

The Coordinator of Club Operations & Safety supports the day-to-day execution of club operations, safety, and facility efforts across the organization. This role is responsible for ensuring strong coordination, accurate reporting, and consistent follow-through on key priorities, while supporting systems, compliance, and growth initiatives.

This position serves as a key operational support role, helping ensure alignment between Club Operations, Safety, and Facilities.

MAJOR JOB TASKS AND RESPONSIBILITIES:

Day-to-Day Operations, Safety & Facility Coordination:

  • Support daily club operations to ensure alignment with organizational expectations
  • Assist in coordinating safety and facility-related needs, including tracking issues and follow-ups
  • Help ensure clubs are prepared for audits, inspections, and reviews
  • Serve as a liaison between club sites and leadership teams

Reporting & Data Management:

  • Manage critical reporting across the organization
  • Track and report Key Performance Indicators (KPIs), including membership and Average Daily Participation (ADP)
  • Support Annual Reporting and ensure accuracy of submitted data
  • Fulfill internal and external data requests in a timely manner
  • Maintain data integrity across systems and reports

MyClubHub System Support:

  • Provide organization-wide support for MyClubHub
  • Assist with data accuracy, troubleshooting, and user support
  • Reinforce system expectations and support staff training
  • Partner with leadership to improve system utilization

Club Compliance:

  • Track and monitor compliance across all club sites
  • Ensure completion of required documentation, submissions, and deadlines
  • Follow up with Club Directors on outstanding compliance items
  • Support audit preparation and documentation

Growth Opportunities & Partnerships:

  • Support the identification, vetting, and coordination of new growth opportunities
  • Assist with onboarding and operational setup for new partnerships or sites
  • Gather data and provide support for expansion-related efforts

Parent Engagement:

  • Support parent engagement initiatives across club sites
  • Assist with communication, events, and feedback collection
  • Help ensure a positive and consistent family experience

Other Duties as Assigned:

  • Support organizational initiatives and cross-functional projects
  • Assist leadership with operational, reporting, and administrative needs
  • Ability to manage inventory, manage phone systems, and handle confidential information.

EDUCATION AND WORK EXPERIENCE REQUIREMENTS:

High school diploma or equivalent is required; an Associate or Bachelorโ€™s degree in Business Administration or a related field is preferred. 3+ years of experience in an administrative support, receptionist, or office coordination role.

MINIMUM QUALIFICATIONS:

  1. Must be able to interpret Boys & Girls Clubs of Greater Houston programs and philosophy.
  2. Proficiency in MS Office Suite (Word, Excel, PowerPoint) and Google Apps.
  3. Experience with phone systems and office equipment is expected
  4. Excellent communication (verbal and written) and a positive, professional demeanor.
  5. Strong organizational and project management skills.
  6. Absorb new information rapidly.
  7. Multitask and manage multiple projects.
  8. Highly organized with and attention to detail.
  9. Work harmoniously with people at all levels of the organization.
  10. Objectively evaluate, make effective decisions and develop alternative solutions.
  11. Valid Texas driverโ€™s license.

RELATIONSHIPS:

Internal: Maintain close contact with Club professional staff to interpret and explain organizational mission, program objectives and standards. Able to discuss issues and provide/receive information pertaining to special projects, grants and data management systems.ย  Maintain close contact with all levels of management to ensure accurate and detailed information is communicated in a timely manner.

External: Maintain contact with external community groups, schools, membersโ€™ parents and others to assist in resolving problems, meet grant guidelines and to publicize the Club. Support the mission and vision within our clubs to ensure a positive family experience.
