Job description

This Opportunity 

WSP is seeking a Document Control Manager to join our Project Controls team in Boston, MA.

Your Impact

Duties and Responsibilities:

  • Influence the narrative by understanding what needs to be done to support the project vision and initiatives
  • Experience in implementation of document management systems for large/mega programs in design/construction
  • Experience setting up document management systems and managing from inception, through duration to final completion and closeout of project
  • Monitor and Manage the Electronic Document Management System(s)
  • Develop and administer the project "Document Management Plan"  
  • Develop and administer Document Control Procedures and Training Guidelines
  • Working knowledge and experience in SharePoint, Procore, e-Builder, Bluebeam software or equivalent. 
  • Electronic Document Management System Certification's.
  • Work with Project Information Management Systems Team for access, security and troubleshooting.
  • Knowledge of document management process and procedures and systems 
  • Perform reoccurring training on Document Management Requirements and EDMS use
  • Implement efficient work-flow process, initiate and track document reviews
  • Retrieve files Upload / Download files from EDMS, Manage Document Naming, Convention, numbering, assigning, distribution.           
  • Process Incoming/Outgoing Transmittals and documentation
  • Initiate and track reviews through Bluebeam Sessions
  • Ensure that electronic record files as required are maintained in good order to comply with QA and contractual requirements
  • Optimize Document Control productivity, efficiency, and service quality across all departments.
  • Work with project department leads to ensure timely processing of documentation along with any future updates  
  • Produce progress reports as required

 Who You Are 

Minimum Requirements:

  • Bachelor's degree or equivalent
  • Minimum 7-10 years of Document Control experience working on design, construction or similar projects including start-up and closeout processes.
  • Experience in implementing document management systems and procedures for large and mega programs in construction.
  • Certified in e-Builder or InEight
  • Advanced computer and word processing skills using MS Office applications including SharePoint
  • Experience supervising and leading Document Control Team Members
  • Excellent interpersonal, written and verbal communication skills
  • Ability to coordinate several high-priority deadlines simultaneously
  • Maintain confidentiality at all times
  • Excellent written and verbal communication skills 
  • Technical knowledge of industry documents, records and data management systems 
  • Demonstrate experience with typical Microsoft office applications, such as Word, Power Point, Excel and Visio
  • Exercise responsible and ethical decision-making regarding company funds, resources and conduct and adhere to WSP's Code of Conduct and related policies and procedures

Compensation:

Expected Salary (all locations): $140,000-155,000/yr
