The Pharmacy Operations Manager (MGH) directs and oversees the daily operations of pharmacy services within assigned areas of the Department of Pharmacy. This position provides leadership, guidance, and support to pharmacists, pharmacy technician supervisors, pharmacy technicians, and pharmacy interns, serving as a positive role model and resource to pharmacy staff and other healthcare professionals.
The Pharmacy Operations Manager is accountable for the safe, effective, timely, and reliable preparation and distribution of medications and pharmacy services. This role oversees daily operations, staffing, personnel management, quality and safety, regulatory compliance, operational efficiency, and appropriate utilization of financial and human resources. The manager actively evaluates pharmacy operations and implements improvements that enhance workflow, quality, safety, productivity, reliability, and financial performance.
The Pharmacy Operations Manager participates in determining short- and long-term departmental goals and contributes to the development, implementation, and maintenance of pharmacy policies and procedures. The manager works collaboratively with pharmacy operations and clinical leadership, Pharmacy Information Systems, physicians, nursing leadership, Supply Chain, Finance, and other institutional departments to optimize pharmacy systems and support patient-centered care and clinical pharmacy programs.
The Pharmacy Operations Manager reports to the Director of Pharmacy Operations and collaborates with other members of the MGH and MGB Pharmacy Leadership teams to advance pharmacy practice, medication safety, operational excellence, and departmental and organizational goals.
Qualifications
Essential Functions
- Provides leadership, guidance, mentorship, and support to pharmacy staff and serves as a positive role model for professionals under their supervision.
- Supervises and directs the daily operations of pharmacy services within assigned areas, ensuring safe, effective, timely, and reliable medication preparation, distribution, and delivery.
- Develops staffing models and schedules and assigns staff to ensure appropriate coverage of pharmacy operational areas and services.
- Directs the activities of pharmacists, pharmacy technician supervisors, pharmacy technicians, and pharmacy interns within assigned areas and ensures appropriate utilization of staff and operational resources.
- Serves as a resource regarding pharmacy policies, procedures, and operational practices to pharmacists, physicians, nurses, and other hospital staff.
- Serves as a subject matter expert in pharmacy automation and medication distribution systems, including decentralized automated dispensing cabinets, centralized carousel technologies, robotics, and other area-specific technologies.
- Collaborates with Pharmacy Information Systems, automation vendors, and other technical resources to optimize, maintain, and improve automated medication distribution systems, medication inventory management, and operational efficiency.
- Develops and implements workflows designed to improve efficiency, reliability, medication safety, productivity, and appropriate utilization of pharmacy resources while minimizing waste.
- Oversees and ensures compliant compounding practices within assigned areas, as applicable, in accordance with USP <795>, <797>, and/or <800> requirements.
- Ensures compliance with controlled substance regulations and supports medication-use processes designed to prevent, identify, and appropriately address drug diversion.
- Oversees the management and maintenance of emergency code carts, medication kits, perioperative trays, and other medication distribution systems throughout hospital, perioperative, and ambulatory care areas, as applicable.
- Actively monitors and evaluates operational, quality, safety, productivity, and financial performance and implements improvement initiatives as appropriate.
- Benchmarks operational practices against internal standards and local and national best practices to identify opportunities for continuous improvement.
- Maintains accountability for appropriate human, capital, financial, and operational resource utilization within assigned areas.
- Ensures accurate employee timekeeping and leave records and maintains appropriate staffing and coverage to support operational needs.
- Oversees pharmacy staff development, orientation, onboarding, training, continuing education, and competency assessment.
- Conducts educational programs, in-services, staff meetings, and other learning activities to support staff knowledge, competency, and professional development.
- Participates in the recruitment, interviewing, selection, onboarding, and retention of qualified pharmacists, pharmacy technician supervisors, pharmacy technicians, and pharmacy interns.
- Conducts employee performance evaluations and addresses performance concerns through coaching, performance improvement plans, and corrective action when appropriate.
- Facilitates and supports staff, resident, and student training experiences and competency assessments.
- Develops, implements, and maintains departmental policies and procedures in collaboration with pharmacy leadership, ensuring policies are current, communicated effectively, and consistently followed.
- Participates in determining short- and long-term departmental goals and contributes to strategic planning and operational initiatives.
- Coordinates with Supply Chain and Finance teams regarding medication and supply utilization, inventory management, purchasing, billing integrity, and related financial processes.
- Maintains an emphasis on ongoing quality, safety, regulatory compliance, medication safety, productivity, and operational improvement initiatives.
- Actively manages operational resources to support patient care services, medication safety systems, regulatory requirements, quality assurance programs, and departmental priorities.
- Maintains effective communication with pharmacy staff, pharmacy leadership, administrative teams, physicians, nurses, other healthcare professionals, and institutional departments.
- Consistently demonstrates professionalism and effectively manages and resolves conflict to promote positive working relationships and collaborative outcomes.
- Mentors pharmacists and pharmacy technicians, supports professional growth, and elevates standards of pharmacy practice.
- Participates in on-call responsibilities as assigned.
- Identifies opportunities to improve pharmacy services and collaborates with colleagues across MGH and MGB to implement initiatives that advance pharmacy practice and patient care.
- Assumes additional responsibilities in the management and operation of the Department of Pharmacy as delegated by the Director of Pharmacy Operations and Chief Pharmacy Officer.
