Contracts Administrator 3
Manages moderate to high-risk contract activities that directly support company and division objectives. This role handles a diverse portfolio of government and commercial contracts, requiring sound judgment, independent analysis, and the ability to resolve complex contractual issues. Responsibilities include developing specialized contract strategies, ensuring regulatory compliance, supporting business development efforts, and serving as a trusted advisor to internal stakeholders. Work is performed with a high degree of autonomy while collaborating closely with program, finance, and executive leadership.
Key Responsibilities

  • Prepare, negotiate, execute, and administer Non-Disclosure Agreements (NDAs), Teaming Agreements, Consulting Agreements, Subcontracts, Reseller Agreements, and other contractual documents.
  • Participate in weekly business development meetings by providing contractual guidance on new opportunities.
  • Review solicitations and prepare contractual responses for proposals, bids, modifications, and other customer requests.
  • Analyze contract requirements, terms, conditions, and special provisions to ensure compliance with applicable laws, regulations, corporate policies, and business procedures.
  • Develop negotiation strategies and negotiate simple to moderately complex contractual matters while effectively communicating contract policies and best practices to internal teams.
  • Draft, review, and negotiate contractual documents using approved templates and established company guidelines.
  • Maintain accurate contract records, documentation, and files to support contract performance, compliance, and audit readiness.
  • Conduct contract kickoff meetings and maintain meeting agendas and minutes.
  • Provide guidance to program teams, business leaders, and junior contracts staff on contractual, financial, legal, and compliance-related matters.
  • Research changes to laws, regulations, and industry trends to assess potential impacts on company operations and contract execution.
  • Support senior contracts personnel in resolving contractual issues and coordinating with internal and external stakeholders.
  • Oversee Contract Data Requirements List (CDRL) submissions and ensure timely contract deliverables.
  • Partner with Operations and Program Managers to support monthly financial and contract status reporting, including Financial Estimate at Monthly Review (FEMR).
  • Review invoices for contractual compliance and accuracy prior to submission.
  • Monitor contract funding, prepare financial tracking documents, and support Estimate at Completion (EAC) reporting.
  • Establish and maintain contract and project setup, modifications, and financial data within Deltek Costpoint.
  • Manage contract correspondence, including CPARS, CARs, PARs, cure notices, and other customer communications.
  • Prepare and execute contract closeout activities.
  • Generate contract, project, and financial reports using Deltek Costpoint.
  • Maintain system configurations to ensure accurate monthly GSA sales reporting by line item.
  • Maintain company registrations and certifications, including SAM registration and Representations & Certifications (Reps & Certs).
  • Issue and administer subcontracts, monitor subcontract funding, and review and approve subcontractor invoices.
  • Perform other duties as assigned.

Qualifications

  • Bachelor's degree with 5–7 years of relevant contracts administration experience, or an Associate degree with 7–10 years of relevant experience.
  • Basic knowledge of government contracting principles, including the FAR, DFARS, UCC, and applicable acquisition laws and regulations.
  • Strong analytical, organizational, negotiation, and written and verbal communication skills.
  • Experience reviewing, drafting, and negotiating contractual documents while ensuring compliance with company policies and regulatory requirements.
  • Proficiency with contract lifecycle management, financial tracking, and contract administration systems such as Deltek Costpoint is preferred.
  • Ability to prioritize multiple assignments, work independently, and meet deadlines in a fast-paced environment.
  • Ability to collaborate effectively with cross-functional teams, including Business Development, Program Management, Finance, and Legal.
  • Strong attention to detail and commitment to maintaining accurate contract documentation and compliance.
