Job description

Job Summary:

The project manager is responsible for overall project planning, scheduling, resource allocation, project accounting, and control, all while providing technical direction and ensuring compliance with quality standards. The Project Manager reports to the Senior Project Manager or Project Executive and ensures that work is completed on time, within budget and to the quality specified within the Client contract.

Responsibilities: 

  • Project Management:
    • Chart out project objectives and plans while setting performance requirements and selecting project participants.
    • Oversee the construction project in every phase from conceptual design through completion.
    • Begin project with the required preconstruction tasks including reading plans and specs, developing scope sheets, and assisting with leveling interviews and contractor qualifications.
  • Project Accounting:
    • Assist the project executive in the development of early budgets and schedules. Manage the project budget, track team expenses, and minimize exposure and risk in the project.
    • Process and manage contracts, change orders, and assist in negotiating contracts. Deliver project specific financial reporting at scheduled intervals.
    • Process RFIs/Shops/Submittals, and Payment Requisitions, including demand payments while maintaining strict adherence to the budgetary guidelines.
  • Project Compliance:
    • Understand all RXR Insurance requirements and assist the project executive in engaging legal and outside insurance managers to negotiate and waive insurance terms as requested.
    • Prepare site specific Health and Safety Plans. Adhere to all RXR safety requirements and inspect jobsites for deficiencies, ensuring their correction and addressing any issues with subcontractors and labor directly.
    • Track permit requirements and coordinate with expeditors to complete all filings, following up when necessary.
  • Stakeholder Collaboration:
    • Develop effective communication and mechanisms for creating positive working relationships among all project participants.
    • Coordinate the efforts of all external project stakeholders including architects, consultants, contractors, sub-contractors, and laborers.
    • Liaise with internal stake holders including Property Management, RXR Leasing Team, Asset Management and RXR Development Services.  
  • Reporting:
    • Monitor the progress of the construction activities and hold regular status meetings with all the sub-contractors. Regularly and proactively follow up to ensure all requirements and workflows move rapidly and accurately to advance the project.
    • Ensure project documents are complete and accurate
    • Act as a key link with the clients and review the prepared deliverables prior to client presentation.

Project Planning and Scheduling: Ability to create detailed project plans, timelines, and schedules with attention to delivery lead times, logistics, and key milestones.

Contract Management: Expertise in understanding and managing contracts, including negotiation, compliance, and scope changes.

 Assistance with early project initiation, including coordination with Asset Managers and Internal and External Design Teams: 1) Assist PX to develop early budgets and schedules.  2) Coordinate with Design Team to develop detailed scope based off client feedback.  3) Coordinate with Precon team to ensure market pricing is in line with expectations and turned around to client quickly. Demonstrate ability to interact with external design teams, as well as internal teams such as the design team, precon team and our internal clients such as PMO, Asset Management and Leasing.  4) Clearly communicate your requirements and follow up on such to the above mentioned teams.  5) Be able to identify your required tasks, even if not explicitly stated, from other teams.  6) Regular and proactive follow up to ensure all requirements and work flows move rapidly and accurately to advance the project

Project Meetings and Project Schedules: 1) Timely Preparation of meeting materials and keep Accurate Minutes, 2) Run project meetings, with an organized agenda, clear presentation materials, a disciplined leadership of conversation and assign clear tasks and deliverables to attendees 3) Hold all stakeholders accountable for required tasks and deliverables.

Budget and Financial Management: 1)  Track, forecast and update project budget.  Communicate changes to all stakeholders.  2) Control expenditures to ensure financial goals are met.  3) Negotiate and create project change orders.  4) Mastery of workflow steps to complete all contract budget modifications and change orders.

Written Communication: Ability to articulate thoughts and ideas clearly and effectively in appropriate written form to persons inside and outside of the organization

Knowledge Areas

  • Construction Management Software (Procore, Bluebeam) preferred
  • Microsoft Office Suite, especially Excel and PowerPoint required.
  • Full understanding of applicable process for entitlements and zoning in the relevant jurisdiction.
  • Vast knowledge of all trades: scope, time frames/field execution, typical missed scope/exposures
  • Understand MEPS systems and components, and be able to scope and analyze MEPS bids

Education and Experience

  • Preferred Bachelor's degree in Engineering, Construction Management, or technical training. A combination of education and work experience will also be considered in lieu of degree.
  • Minimum 5 to 10 years field experience as a Project Manager with an established construction firm.
  • Solid conceptual estimating experience
  • OSHA 30 and NYC 4-hour Scaffold Training
