Job description

SUMMARY OF POSITION:

The Contract Coordinator plays a vital role in supporting the contract lifecycle for North East Medical Services (NEMS). This position is responsible for coordinating and facilitating NEMS contract development, negotiation, and execution, in collaboration with internal stakeholders and external partners, related to healthcare services, including payer and service agreements. This role is responsible for the timely and accurate processing of new contracts and amendments, while serving as a liaison between operational staff, leadership, and legal teams to ensure alignment with organizational goals and regulatory compliance.

Additionally, the Contract Coordinator plays a key role in establishing new contractual relationships, based on NEMS business needs, by identifying potential partners, initiating requests to contract, facilitating internal contract review, and ensuring key operational staff and NEMS leadership are informed and supported regarding new and existing agreements.

This position requires good critical thinking skills and general understanding of the NEMS health care operational structures, strong attention to detail, organizational, and analytical skills and a relevant degree of creativity and latitude. The Contract Coordinator is expected to carry reasonable level of healthcare administrative knowledge and experience in supporting the NEMS business growth by maintaining contractual relationships and entering into new partnerships.

ESSENTIAL JOB FUNCTIONS:

  • Coordinate the end-to-end contract process, including drafting, reviewing, routing, tracking, and executing healthcare payer and/or service agreements.
  • Manage and oversee existing contracts, including amendments, renewals, and terminations
  • Establish and maintain strong relationships with partner organizations.
  • Identify potential partners and initiate contract requests based on business needs.
  • Facilitate communication with relevant departments during internal contract review and approval to ensure timely progress and resolution.
  • Ensure key operational staff and leadership are informed and supported regarding new and existing agreements.
  • Collaborate with internal stakeholders including legal, compliance, and operational teams to maintain efficient contract management processes and meeting regulatory requirement.
  • Maintain a contract management system, tracking components and scope of executed contracts.
  • Assist in contract negotiations between healthcare providers and payers.
  • Identify and escalate issues, risks, or delays in the contract process to leadership, as appropriate.
  • Serve as a point of contact for contract-related inquiries from internal and external stakeholders.
  • Performs other job duties as required by manager/supervisor.
  • Bachelor’s degree in business administration, healthcare administration, law, or a related field is required.
  • Minimum of 2 years of experience in contract coordination, contract administration, or a similar role within a healthcare setting.
  • Knowledge of healthcare regulations, compliance requirements, and industry-specific contract terms, is strongly preferred.
  • Strong attention to detail, organizational, and analytical skills.
  • Proficiency in Microsoft Office (PowerPoint, Word, Excel, Outlook)
  • Excellent communication and negotiation skills.
  • Experience with provider agreements, managed care contracts, or hospital/vendor contracts, is a plus.
  • Familiarity with electronic health record (EHR) systems and FQHC operations, is a plus.

LANGUAGE:

  • Must be able to fluently speak, read and write English.
  • Fluent in Chinese (Cantonese and/or Mandarin) preferred
  • Fluency in other languages are an asset.

STATUS:

  • This is an FLSA Non-exempt position.
  • This is not an OSHA high-risk position.
  • This is a full-time position.
