Job description

Job Title: Accounting Specialist

Location: Downtown Houston, TX

Compensation: $30.00 - $32.00 / hour

Benefits: This position may be eligible for medical, dental, vision, and 401(k).

Job Summary

We are seeking an experienced Accounting Specialist to join a growing real estate organization in Downtown Houston. This role is responsible for full-cycle Accounts Payable and Accounts Receivable functions across multiple entities, with a strong emphasis on high-volume AP processing. The ideal candidate will have experience within real estate or property management, strong problem-solving abilities, and the ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail.

Key Responsibilities

Accounts Payable

  • Manage full-cycle accounts payable processing for 12 entities
  • Analyze, code, and enter vendor invoices accurately and timely
  • Review invoices for reasonableness and compliance with contract terms, rates, and usage
  • Route invoices through approval workflows and ensure proper documentation is maintained
  • Process weekly check runs and vendor payments
  • Maintain and manage the AP email inbox
  • Reconcile vendor accounts and resolve discrepancies
  • Manage relationships with over 200 vendors
  • Maintain organized vendor files and recurring billing schedules
  • Allocate expenses to the appropriate properties and general ledger accounts
  • Ensure all invoices are coded correctly and processed according to company procedures
  • Communicate with operations teams regarding vendor payments and tenant ledger activity
  • Manage contract timesheet reporting and intercompany expense allocations
  • Track job costs and project expenses
  • Process project lien releases
  • Enter and process partner distributions
  • Prepare and process annual 1099 reporting for multiple entities

Accounts Receivable

  • Post monthly rents and late fees according to established policies and timelines
  • Deposit tenant payments and accurately apply receipts
  • Maintain accounts receivable records and tenant subledgers
  • Monitor and collect past-due balances
  • Research and resolve payment discrepancies
  • Follow up on non-sufficient funds (NSF) payments
  • Participate in monthly AR and close meetings
  • Respond to tenant inquiries regarding account balances and payments
  • Reconcile tenant accounts and ensure accurate account activity

Reporting & Administrative Support

  • Consistently meet deadlines and identify potential issues before they become problems
  • Maintain accurate accounting records and supporting documentation
  • Assist with special projects and additional accounting duties as assigned
  • Support process improvements and operational efficiencies
  • Collaborate with accounting, operations, and property management teams

Qualifications

  • 3+ years of accounting experience with strong full-cycle Accounts Payable experience required
  • High-volume AP processing experience required
  • Real estate or property management experience preferred
  • Experience with Yardi Breeze preferred
  • QuickBooks experience required if no Yardi experience
  • Advanced Excel skills including Pivot Tables, VLOOKUPs, and data analysis
  • Strong attention to detail and organizational skills
  • Excellent communication and interpersonal abilities
  • Proven problem-solving and critical-thinking skills
  • Ability to multitask and manage competing priorities effectively
  • Self-motivated with a willingness to learn and assist in areas outside of primary responsibilities
  • Recent graduates or candidates with only data entry experience will not be considered
