The Contract Operations Specialist is responsible for owning and managing TPG's sponsorship contract lifecycle from opportunity approval through execution, filing, reporting, and renewal tracking. This role serves as the central coordinator for all contract-related activities and partners closely with sales, operations, finance, leadership, and legal counsel to ensure timely, accurate, and compliant contract execution.


RESPONSIBILITIESย 

  • Own and manage the end-to-end sponsorship contract lifecycle, serving as the primary point of coordination for all contract-related activities across the organization.
  • Gather, validate, and maintain contract data, stakeholder information, sponsorship inventory, pricing, and other required details from internal departments and systems to ensure accurate contract preparation.
  • Draft, prepare, and generate sponsorship agreements, amendments, renewals, addendums, and other contractual documents in accordance with company standards and approved templates.
  • Coordinate and manage the contract review and approval process, ensuring timely routing, stakeholder alignment, and execution within established deadlines.
  • Partner with internal leadership and external legal counsel to address non-standard contract terms, negotiate revisions, and resolve contractual issues or risks.
  • Monitor contract status throughout the approval and signature process, proactively following up with internal and external parties to ensure timely completion.
  • Maintain accurate and organized records of all executed agreements, amendments, and supporting documentation within contract management systems, CRM platforms, and shared repositories.
  • Ensure compliance with organizational policies, approval workflows, documentation standards, and legal requirements throughout the contract lifecycle.
  • Serve as a trusted resource for contract-related questions, providing guidance to sales, partnerships, operations, finance, and leadership teams.
  • Identify opportunities to improve contract processes, workflows, templates, reporting, and system utilization to increase efficiency and reduce risk.
  • Track key contract milestones, renewal dates, obligations, and deliverables to support ongoing account management and sponsorship fulfillment.
  • Develop and maintain reporting on contract pipeline status, execution timelines, outstanding approvals, and renewal opportunities.
  • Collaborate with finance and operations teams to ensure executed agreements are properly transitioned into invoicing, reporting, and activation workflows.

Requirements

REQUIREMENTS:

  • Proven experience managing complex processes involving multiple stakeholders, approvals, deadlines, and documentation requirements.
  • Exceptional attention to detail with the ability to review, prepare, and manage high volumes of contractual documents with accuracy.
  • Strong organizational and project management skills, including the ability to prioritize competing responsibilities and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills, with the ability to effectively coordinate with internal teams, executives, clients, and external legal counsel.
  • Proficiency with CRM, contract management, document management, and Microsoft Office platforms, including experience maintaining accurate records and reporting data.
  • Experience working with Salesforce, DocuSign, SharePoint, Microsoft 365, or similar business systems preferred.
  • Ability to learn and manage contract management and workflow automation tools.
  • One (1) year of related experience preferred contract administration, contract management, legal operations, sales operations, sponsorship administration, or a related role
  • Bachelor's degree in Business Administration, Legal Studies, Finance, Communications, or a related field; equivalent professional experience may be considered
