Job Details:

Title: Contracts Coordinator

Duration: 4 months

Location: Las Vegas, Nevada

Client - Caesars Entertainment 

Qualifications 

  • Bachelor's degree in Business Administration or related field, or a Paralegal certificate, Additional education relating to Contracting is also desired. 
  • Two to five years of Purchasing and Contract Administration experience.
  • Prior experience working with the Ariba Contract Management System or an equivalent electronic contract management system is required. Also, prior experience with electronic signature tools and processes is desirable. 
  • Must have working knowledge of the contracting process, and a basic understanding of contract terminology and standard contract terms and conditions.
  • Knowledge of Microsoft Office suite of products, including advanced functionality of Excel.
  • Strong analytical, process and program management skills.
  • Proactive, take charge and strong team player with the ability to manage multiple projects in a deadline driven environment. 

Responsibilities 

  • End-to-end administration of vendor contracts. This includes setting up of the contract work space in Ariba, facilitating the editing/redlining of the contract, ensuring configuration control during editing, managing the signature process, uploading the contract into the contract repository upon completion, managing the contract change process after implementation, and administering the contract renewal process when applicable. 
  • Set up, review and monitor contract work spaces to ensure all appropriate documentation is included.
  • Prepare required documentation and obtain Ariba numbers for contracted products. 
  • Ensure diversity documentation and/or exception request requirements are completed prior to RFP issuance.
  • Coordinate with representatives from other departments and vendor/suppliers to ensure timely and accurate contract preparation and problem resolution. 
  • Establish effective working relationships between contract management, suppliers and user departments.
  • Track contract termination/renewal dates and provide information to Sourcing teams.
  • Maintain contract templates and electronic contract documentation in consistent formats.
  • Interface with Category Director (s) and Contract Manger (s) to review contract terms and conditions.
  • Ensure appropriate property personnel are informed about current, pending, and future activities within the assigned national agreements
  • Assist Strategic Sourcing department management with administrative support or special projects as required. 
  • Establish, maintain and control a system of activity documentation to ensure such activity conforms to established policies, procedures and drives compliance. 
  • Verify accuracy of supplier catalogs, pricing updates and supporting documents ensuring compliance with internal controls.
  • Train stakeholders in the use of key Sourcing applications, procedures and policies
