What will you be doing!
- Contractor Submittals Administration
- Leading and managing contractor submittal intake and communications through the contract risk management system on behalf of CNL's Historic Waste Program Management Office (HWPMO).
- Ensuring adherence to document control and records management governance, standards, processes, and guidelines.
- Reviewing and validating incoming information to confirm alignment with CNL requirements before distributing to project staff and stakeholders.
- Coordinating and communicating submittals and related information to project teams and stakeholders in a timely manner.
- Ensuring timely transmission of all CNL responses to contractors via the contract risk management system.
- Submittal Coordination & Tracking
- Initiating, coordinating, and facilitating review and acceptance workflows for all submittals.
- Tracking, monitoring, and reporting on submittal status, progress, and issues.
- Identifying and managing exceptions, including resolving issues related to submittals and their handling.
- System Support & Process Improvement
- Supporting and advising project staff on the use of the contract risk management system for document control and submittal reviews.
- Recommending and improving document control processes and workflows.
- Coaching and guiding project staff and contractors on system usage and document control best practices.
- Document Management & Compliance
- Managing and maintaining accurate recording, coding, and filing of all submittals and records within the Electronic Document and Records Management System (EDRMS).
- Ensuring compliance with CNL standards, policies, procedures, and guidelines.
- Coaching and supporting project staff and contractors on document control processes and workflows.
- Quality Assurance & Stakeholder Coordination
- Collaborating with record owners, quality assurance leads, and approvers to maintain high-quality, compliant records.
- Identifying, addressing, and resolving document control quality issues while keeping stakeholders informed.
- Maintaining oversight of record quality and ensuring alignment with information management standards.
- Operational Support
- Providing cross-functional support to other Document Control teams and roles as required.

What we are looking for:
- Education
- Records and Information Management Certificate from a recognized College is an asset.
- Alternatively, two (2) years of progressive relevant experience in a projectized information/records management environment will be considered.
- Preference will be given to those who hold a post-secondary certificate.
- Experience
- Experience with Content Server or other enterprise-level information/records management systems.
- Experience coordinating resources across multiple departments.
- Experience working with a Contract Management System is considered an asset.
- Records and information management experience.
- Experience working in a project environment.
- Knowledge, Skills & Abilities
- Strong and highly accurate electronic data entry skills.
- Knowledge of records and information management best practices, procedures, and guidelines.
- Strong working knowledge of Microsoft Office 365, including Word, Excel, SharePoint, and Outlook.
- General knowledge of databases to search, validate, archive, and process documents.
- Ability to work efficiently and maintain focus on highly repetitive tasks.
- Highly organized with strong attention to detail and ability to reprioritize as needed.

- Security Clearance Eligibility Required
- Reliability Status with Site Access Security Clearance (SASC), which has a minimum requirement of 3-5 years of verifiable history in Canada, Australia, New Zealand, the United States and/or the United Kingdom. CNL implements security screening in accordance with the Treasury Board of Canada Secretariat's "Standard on Security Screening" and the "Policy on Government Security."

The CNL Historic Waste Program Management Office and the Port Hope Area Initiative projects are situated on the traditional lands of the Williams Treaties First Nations, specifically the Gunshot Treaty negotiated between the Crown and Mississauga Nation during the 1780s and represented today by the Williams Treaties First Nations. The Mississauga Nations are also signatories to various 18th and 19th century treaties that covered lands in different parts of south-central Ontario. In 1923, the Mississauga First Nations and the Chippewa First Nations consisting of Rama, Beausoleil and Georgina Island signed the Williams Treaties and together, over 90 years later in June 2018, joined to ensure that their rights and the relationship with these lands are respected through a renewed agreement with Canada and the province of Ontario.
