Job description

Day in the Life:

 The Contracts and Lease Analyst is responsible for administering and maintaining the CoStar Real Estate Manager database for owned, leased, and concession properties across the United States and Canada. This role ensures the accuracy of lease records, compliance with contractual obligations, and effective management of the company's real estate portfolio. 

The analyst reviews and abstracts lease agreements, establishes payment schedules, analyzes lease terms, and maintains critical lease data within the system. This position works closely with landlords, internal business partners, and Finance teams to process lease-related payments, reconcile accounts, resolve discrepancies, and support reporting and audit requirements.

The Contracts and Lease Analyst plays a key role in ensuring lease administration processes are efficient, accurate, and compliant while providing valuable insights to support real estate and business decisions. Success in this role requires strong analytical, organizational, and problem-solving skills, exceptional attention to detail, and the ability to manage multiple priorities in a fast-paced environment while building effective relationships with internal and external stakeholders.

The starting salary for this role is $55,000, commensurate with experience. 


What You'll Do:

  • Maintain and administer the CoStar Real Estate Manager database for owned, leased, and concession properties across the United States and Canada.
  • Review, analyze, and interpret lease documents, including leases, amendments, renewals, subleases, and airport concession agreements.
  • Abstract lease information and establish rent and payment schedules for all North American locations, including airport facilities.
  • Review invoices, account statements, recurring rent payments, one-time charges, and rent adjustments to ensure accuracy and compliance with lease agreements.
  • Prepare and review annual NNN (Triple Net) reconciliations and investigate and resolve unbalanced lease ledger discrepancies.
  • Manage landlord and concessionaire relationships related to lease payments, contractual obligations, and operational matters.
  • Research and resolve landlord and tenant payment disputes, billing discrepancies, and lease-related issues in accordance with contractual terms.
  • Utilize CoStar Real Estate Manager, Microsoft Excel, Outlook, and other business applications to support lease administration, reporting, and data analysis activities.
  • Collaborate with Real Estate, Accounting, Finance, and Operations teams, as well as external landlords, concession partners, and vendors.
  • Generate, maintain, and distribute lease administration reports to support financial, operational, and real estate decision-making.
  • Ensure compliance with lease terms, critical dates, payment obligations, and internal controls.
  • Perform additional duties and special projects as assigned.

  • Bachelor's degree required; an Associate degree with two years of relevant experience may be considered in lieu of a bachelor's degree.
  • Experience in lease administration, contract analysis, real estate operations, accounting support, or a related field preferred.
  • Strong analytical, problem-solving, and organizational skills, with exceptional attention to detail and the ability to review, interpret, and analyze lease agreements and related contracts.
  • Proficiency in Microsoft Office Suite, particularly Excel and Outlook.
  • Strong time management and organizational skills, with the ability to prioritize and manage multiple tasks and deadlines effectively.
  • Excellent interpersonal, verbal, and written communication skills, with the ability to collaborate effectively with internal and external stakeholders.
  • Ability to work independently, exercise sound judgment, and make informed decisions in a fast-paced environment.
  • Flexible and adaptable, with the ability to respond effectively to changing priorities and evolving business needs.
  • Demonstrated ability to maintain accuracy and confidentiality while managing sensitive financial, contractual, and real estate information.
