Description:

The Distribution Center & Facilities Project Coordinator is responsible for overseeing the maintenance, cleaning, safety, certifications, and overall functionality of all company facilities, machines, and equipment, including the Distribution Center and the Miami office. This role ensures that all installations, machinery, and infrastructure operate efficiently, safely, and in full compliance with environmental, safety, and operational regulations, including R2 Certification standards.


DUTIES & ESSENTIAL JOB FUNCTIONS

Facilities & Maintenance Management

  • Oversee preventive and corrective maintenance for all facility systems and operational equipment, including HVAC, electrical, plumbing, lighting, docks, racking, and machinery.
  • Ensure all installations, machines, and infrastructure remain fully functional and compliant with manufacturer specifications and regulatory requirements.
  • Manage service contracts, vendors, and external contractors as needed.
  • Develop and execute maintenance schedules, inspections, and repair plans.

Equipment Certifications & Compliance

  • Ensure all Operations Department machines and equipment maintain required certifications, permits, inspections, and compliance with technical specifications.
  • Track certification expirations, inspection schedules, and compliance documentation for all equipment.
  • Coordinate third party inspections, calibrations, and recertifications as required.
  • Ensure equipment is operated, maintained, and modified only within approved specifications and compliance standards.

Cleaning & Facility Standards

  • Oversee daily cleaning operations for the Distribution Center and Miami office.
  • Ensure facilities and operational areas meet cleanliness, organization, and functionality standards at all times.
  • Implement continuous improvement initiatives to enhance facility appearance and operational efficiency.

Environmental & R2 Certification Compliance

  • Ensure full compliance with R2 Certification environmental requirements.
  • Maintain, implement, and monitor environmental policies and procedures within the Operations Department.
  • Ensure proper handling, storage, and disposal of materials in accordance with environmental regulations.
  • Support audits, inspections, documentation, and corrective actions related to R2 certification.

Safety & Compliance

  • Ensure compliance with all company safety policies, OSHA regulations, and local/state requirements.
  • Identify safety risks related to facilities, equipment, and operations and implement corrective and preventive measures.
  • Conduct regular safety inspections and collaborate with leadership on safety initiatives.
  • Support safety training and enforcement of best practices on the floor.

Team Leadership

  • Lead, supervise, and develop the maintenance and janitorial teams.
  • Assign work, manage schedules, and ensure adequate coverage across all facilities.
  • Provide training, performance feedback, and coaching to team members.
  • Foster a culture of accountability, safety, and continuous improvement.

Project Management & Reporting

  • Manage facility and equipment-related improvement projects from planning through execution.
  • Track maintenance budgets, certification costs, and resource utilization.
  • Maintain accurate maintenance logs, certification records, inspection reports, and compliance documentation.
  • Provide regular updates and compliance status reports to Operations and Leadership.
Requirements:

QUALIFICATIONS

  • 3–5+ years of experience in facilities management, maintenance management, or operations leadership (distribution, manufacturing, or industrial environment preferred).Hands-on experience managing machinery, equipment certifications, and compliance programs.
  • Experience working with R2 Certification, environmental compliance, or sustainability programs preferred.
  • Strong knowledge of OSHA regulations, equipment safety standards, and preventive maintenance systems.
  • Proven experience leading maintenance and/or janitorial teams.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to manage multiple locations and priorities simultaneously.
