Job description

The Bagga Team is seeking a highly driven, licensed Real Estate Executive Assistant who thrives in a fast-paced, high-performance environment and is committed to excellence, accountability, and growth.

This is not a typical assistant role — this is a key leadership support position responsible for ensuring seamless operations across listings, buyer transactions, client communication, and internal systems. You will work directly alongside top-producing agents, playing a critical role in delivering a 5-star client experience while maintaining strict compliance with Alberta real estate standards.

We are looking for someone who is organized, proactive, detail-oriented, and solution-focused, with the ability to take ownership of tasks, anticipate needs, and execute at a high level without constant supervision.

Compensation:

$50,000 - $150,000


Responsibilities:
  • Own and manage the full transaction lifecycle from accepted offer to closing, ensuring every file is handled with precision, urgency, and zero errors
  • Maintain 100% compliance on all files in accordance with Alberta Real Estate Association (AREA), Realtors Association of Edmonton (EREB), and Canadian Real Estate Association (CREA), with a strong understanding of contracts, clauses, and timelines
  • Prepare, review, and audit all documentation (contracts, amendments, listings, condition removals) with a proactive mindset — catching issues before they become problems
  • Act as the central communication hub between clients, lawyers, lenders, inspectors, and vendors — ensuring clarity, speed, and professionalism at every stage
  • Master and manage CRM systems (Follow Up Boss) — ensuring all leads, clients, and communications are consistently updated, tracked, and actioned
  • Drive past client nurturing and database engagement, including follow-ups, check-ins, and touchpoints to generate repeat and referral business
  • Conduct and support Comparable Market Analysis (CMA) preparation with attention to market data, pricing strategy, and presentation quality
  • Support listing and buyer operations at a high level, including pre-listing preparation, marketing coordination, showing feedback tracking, and buyer file management
  • Track and manage all critical timelines — deposits, condition dates, financing, inspections, and closing requirements — ensuring nothing is missed
  • Deliver a 5-star client experience through proactive communication, responsiveness, and attention to detail
  • Identify gaps, inefficiencies, and opportunities for improvement within systems and processes — bringing solutions, not just problems
  • Follow leadership direction with precision and urgency, while also taking initiative to move tasks forward independently
  • Be a strong listener and problem solver, able to understand client and team needs and execute effectively

Qualifications:
  • Active Real Estate License in Alberta (RECA compliant) – mandatory
  • Strong understanding of contracts, clauses, and compliance requirements under Alberta Real Estate Association (AREA), Realtors Association of Edmonton (EREB), and Canadian Real Estate Association (CREA)
  • Minimum 1–2 years of real estate experience (transaction coordination, admin, or sales support preferred)

Demonstrated ability to understand and manage the full real estate lifecycle, including both:

  • Buyer process (lead > consultation > showings > offer > conditions > closing)
  • Seller process (listing > pricing > marketing > negotiations > conditions > closing)
  • Proven ability to manage multiple transactions simultaneously with strong attention to detail and zero tolerance for errors
  • Experience with CRM systems (preferably Follow Up Boss) and a clear understanding of database management, follow-ups, and pipeline organization
  • Ability to prepare and support Comparable Market Analysis (CMA) with an understanding of pricing strategy and market trends
  • Strong communication skills — able to confidently interact with clients, lawyers, lenders, and vendors
